POSITION OVERVIEW:
The Executive Assistant provides administrative and operational support to the executive office and corporate functions. This position is responsible for managing executive calendars, coordinating meetings and travel arrangements, preparing correspondence and financial reports, maintaining confidential information, and supporting special projects to ensure the efficient operation of the executive office.
ESSENTIAL JOB FUNCTIONS
- Handle a variety of complex and confidential tasks and resolve obstructions related to the clerical and administrative function of the office.
- Familiarize with functions of each department and support the President’s daily management of the Bank.
- Prepare and coordinate agendas and materials, including financial reports, for various periodic meetings, and take meeting minutes as requested.
- Provide administrative support for varieties of secretarial assistance. Duties include but are not limited to general clerical, receptionist, preparation of routine and advanced correspondence, memorandum and reports.
- Communicate on behalf of the President’s Office, within and outside the Bank, per the President’s instructions.
- Set-up accommodation and entertainment arrangements for company visitors or special events.
- Arrange President’s schedules, prepare and maintain President’s expense report.
- Project a professional company image through in-person and phone interaction.
- Accept special assignments and/or render supports to other departments as directed by the Office of President.
- Perform additional duties as assigned.
QUALIFICATIONS
- Education: Bachelor’s degree with major in Business Administration or equivalent experience.
- Experience: Ideally 1-2 years providing administrative support to executive leaders, especially in financial services. Candidates with less experience may be considered based on competency and fit.
- Skills / Ability: General knowledge of financial institutions and operations, strong organizational skills, excellent written/oral communication skills, professional telephone manner, excellent interpersonal skills, able to meet deadlines, strong service and team oriented, ability to handle sensitive/confidential information. Ability to work independently and manage high level work and activities for senior executives with minimum to no supervision. Ability to produce accurate and top-quality work products which represent the Bank in a positive manner.
- Knowledge: Knowledge in use of Microsoft Office and internet capabilities. Strong oral and written communication skills are a must. Excellent interpersonal skills and ability to manage multiple priorities.
- Language: Working proficiency in Chinese is preferred to facilitate effective business communication.
COMPENSATION
The base pay range for this position is $25.00 to $33.00 per hour, with flexibility for candidates with additional relevant experience and skills. The final compensation offer will be determined based on job-related knowledge, skills, and abilities.
