The Impact You Will Make
The Contracts Coordinator provides critical support in the management and organization of procurement contracts, vendor relationships, and purchasing workflows. This person in this role is responsible for assisting in the preparation, tracking, and compliance of vendor agreements, ensuring timely documentation, data integrity, and reporting. The ideal candidate will have strong attention to detail, be highly organized, and possess advanced Excel skills to assist with data analysis and reporting across procurement initiatives.
Essential Duties and Responsibilities:
- Assist in drafting, reviewing, and organizing vendor contracts and purchase agreements.
- Track contract status, expiration dates, renewal timelines, and required approvals.
- Support the contract negotiation process by preparing supplier data and documentation.
- Help ensure contract compliance with internal policies, pricing terms, and legal standards.
- Maintain up-to-date and accurate contract files and vendor records in shared systems.
- Work cross-functionally with legal, accounting, and operations teams to gather approvals and resolve discrepancies.
- Communicate vendor updates, product changes, and backorders to internal teams.
- Assist with invoice reconciliation and troubleshooting invoice mismatches with Accounts Payable.
- Provide reporting support using Excel, including cost tracking, vendor spend, and savings summaries.
- Support cost-reduction initiatives by gathering pricing data and identifying opportunities.
- Perform administrative tasks related to contract loading, renewal tracking, and document control.
- Associate’s degree or Bachelor’s degree in Business, Supply Chain, Accounting, or related field preferred.
- 1–2 years of experience in procurement, contracts administration, or a related support role.
- Proficient in Microsoft Office, especially Excel (pivot tables, formulas, data validation, etc.)
- Familiarity with purchasing or contract management systems (e.g., Coupa or similar) preferred.
