You will be responsible for overseeing the administrative activities for two Advisors within our firm. The ideal candidate will exhibit high standards, has excellent communication skills, has an ability to take initiative, is detail-oriented, can prioritize daily tasks and is outgoing. Responsibilities:
· Greet clients, answer phone, take messages, direct clients to appropriate Advisor.
· Handle all incoming and outgoing USPS/UPS mail and parcels: Pick up mail and parcels (including sorting, distributing, processing and logging the incoming and outgoing office mail, including UPS/USPS mailings).
· Ensure all incoming and outgoing documents are scanned to the appropriate office staff. Scan/fax review documents as requested by Advisors.
· Schedule and confirm meetings.
· Ensure file organization based on office protocol.
· Assist the Sr. VP / Managing Director and Advisors as needed.
· Manage stock inventory, order office supplies and work with vendors for office needs.
· Participate in Marketing & Educational Seminar campaigns.
· Routinely contact existing client's via phone, e-mail, or mail.
· Work on Special Projects as directed by Management; other duties as assigned.
Qualifications:
· Technology proficient (Microsoft Office, CRM systems, etc.)
· Previous experience in administrative services or other related fields.
· Ability to prioritize and multi-task.
· Advanced organizational skills.
· Ability to work confidently and skillfully under deadlines and changing priorities.
· Robust communication and relationship skills – must have the ability to professionally and cordially interact with clients, carriers, vendors and others via phone and in person.
· Strong leadership qualities.
· Ability to work independently.
Highly Desirable Skills:
· Flexibility in work schedule/hours on occasion
· Financial Services industry experience (Broker Dealer, Insurance Company, RIA)
· Industry Licensing (FL 2-15, FINRA 6,7,66,65)
