Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle front desk responsibilities including checking in appointments, scheduling, and maintaining visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management
- Support office management tasks such as calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including photocopying, faxing, mailing, and maintaining office supplies inventory
Experience
- Prior office experience or administrative support experience is required; dental or medical receptionist experience is a plus
- Proven proficiency with computer literacy including Microsoft Office applications and Google Workspace
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with data entry, filing systems, proofing documents, and customer support enhances your fit for this role
- Personal assistant or office management experience is beneficial for handling calendar management and supporting daily operations
