What are the responsibilities and job description for the Wedding and Event Set up Staff position at Event Design?
Job Overview
We are a Luxury Floral and Event Design Production Company. Most of our events take place in North Jersey or NYC. Assist in the load in, setup and load out/ breakdown of event decor at wedding and event venues in the NJ/ NY area. Including but not limited to: centerpieces, large boxes, fragile vases and candelabras, supplies, backdrops, rentals, chuppah and arch structures, etc.
Common tasks for load-in/load-out staff:
Load-in:
- Unloading:
- Staff will unload equipment from trucks or vehicles and bring it into the event space. There are a lot of fragile items that need to be handled with care.
- Placement:
- They will then position items according to the event layout or specifications. Set up centerpieces, design elements, rentals, assist in design installations. It is common to be on a ladder for most of these.
- Assembly:
- Depending on the event, staff might also be responsible for assembling certain items, like tables or chairs, backdrops, stands or chuppah/ mandap ceremony structures that involve using tools such as a drill, screwdriver, etc which will be provided.
- Lifting and moving furniture and equipment.
- Following set-up directions and designs.
- Collaborating with other event staff to ensure a smooth process.
- Maintaining professional interaction with vendors and venue staff.
- Collaborate with the events management team and other staff members to ensure all logistical details are executed as planned.
- Ensuring a clean and organized space both before and after the event takes place
- Following instructions from the creative director, event planner or design production manager
- Maintaining professionalism during the set up and brake down of the event while on the venue's premises
- Disassembling and storing all event equipment, removing the design/ set up team's trash, flowers etc and debris from the venue.
Load-out:
- Packing:
- Staff will carefully pack up all the decor, candles, boxes, equipment and materials used during the event. There are a lot of fragile items that need to be carefully packed with bubble wrap, tape and need to be cared for in a specific way for the items to travel safely without getting damaged in the truck.
- Loading:
- They will then load these items back into trucks or vehicles for transportation at the end of the night after 10pm or on the rare occasion the following morning. Keeping in mind it needs to be stacked strategically in the truck to ensure it is secure and the weight is distributed evenly. On occasion, if you have experience driving a truck you may be asked to do so after working for the company for a while.
- Storage:
- After the event, they may also be responsible for ensuring items are properly stored for future use. The facility where the design elements are stored is in Hackensack, NJ
Skills
- Having the ability to work quickly, efficiently while also transporting and setting up very fragile items
- Being proactive on site, using good judgement when multiple moving parts are happening at once
- Taking direction in a fast paced work environment while also anticipating issues that may arise and preventing them prior to it happening
- Adapting to changing event requirements and quick adjustments on site
- Physical ability to lift over 50lbs
Travel will be in New Jersey and New York.
Shifts are typically broken up into Day time Set up (8-12 hours)
then a Late Evening Pick up/ load out ( after 10pm ) or sometimes the following morning)
** Non Negotiable Requirements for this position
Punctual, Reliable, Works quickly and efficiently, sometimes in high pressure situations
Drivers license and car ( there will be a lot of local traveling involved) For our NYC Events there is not a car needed, at the moment most of the events are in NJ
Major Plus but not required:
- Experience driving a cargo van, transit van, or small box truck ( clean driving record)
Pay is $22/hr

- Collaborate with team members to ensure smooth operations before, during, and after events.

- A proactive approach to problem-solving and the ability to remain calm under pressure.
- Physical stamina to stand for long periods and perform tasks such as lifting or moving equipment when necessary.
