Role Summary
The office receptionist serves as the first point of contact for clients and visitors in our CPA office. This role is responsible for providing professional front desk support, scheduling appointments, handling incoming communications, maintaining organized client records, and assisting office staff with administrative tasks. The ideal candidate is dependable, detail-oriented, courteous, and able to work efficiently in a busy office environment, especially during tax season.
Key Responsibilities
- Greet clients, visitors, and vendors in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls and emails.
- Schedule, confirm, and manage client appointments.
- Collect and organize client documents and information as directed by office staff.
- Maintain confidentiality of client records and sensitive financial information.
- Assist with client check-in and check-out procedures.
- Prepare, scan, copy, file, and organize documents as needed.
- Maintain a clean, organized, and welcoming reception area.
- Provide general administrative support to tax preparers, accountants, and office management.
- Track messages, follow up with clients, and route inquiries to the appropriate team member.
- Assist with mailing, electronic document delivery, and basic data entry tasks.
- Support seasonal workflow by helping manage deadlines, client traffic, and office communications.
Qualifications and Skills
- High school diploma or equivalent required; office management/ receptionist certifications preferred; office administrative or office experience preferred.
- Prior experience in a tax, accounting, financial, or professional services office is a plus.
- Strong customer service and communication skills.
- Professional phone etiquette and interpersonal skills.
- Ability to handle confidential information with discretion.
- Excellent organization, attention to detail, and time management skills.
- Basic computer skills, including email, scheduling software, document management, and Microsoft Office or similar programs.
- Ability to multitask and remain calm in a fast-paced environment.
- Dependable, punctual, and willing to assist with a variety of office needs.
Work Schedule and Seasonal Expectations
This position is full-time and extended hours, or evenings may be required during peak tax season, typically from January through April. Flexibility and reliability during busy filing periods are important.
