Job Description
Job Title: Event Management Coordinator
Department: Conference and Event Services
Division: Business and Finance
Position Summary: Responsible for all aspects of conference, event, and meeting planning services. This includes the preparation of audio/visual production, security, custodial, and catering logistics for all conferences, meetings, and events. Responsible for management of all University events.

Examples of Duties and Responsibilities:
- Responsible for all aspects of assigned conferences & events including planning, preparation, production and logistics, final budget closeout and reconciliation.
- Work closely with the conference/event contact throughout the planning of the actual conference/event to assure a successful event.
- Schedule and coordinate the use of facilities and other resources such as logistics, audio/visual production, security, custodial, and catering for all assigned conferences, meetings, and events.
- Write detailed plans of action (client profiles and event descriptions) for conferences/events on campus.
- Manage the yearly event calendar and associated forms.
- Write contracts for conferences, camps, meetings, and events for external clients.
- Maintain consistent and reliable attendance.
- Participate in planning committees.
- Assist the logistics coordinator in conference, event, and meeting set ups when needed.
- Perform other duties as directed by the Director of Conference and Event Services.
Experience Needed:
Bachelor’s Degree is required. Two years related experience in event planning, hospitality, business, or marketing preferred. A demonstrated record of experience in an office environment or equivalent to include event and facilities management. Evidence of the ability to work with campus and community constituencies is essential. Knowledge and experience using Event Management Systems (EMS Campus).
Machine, Tools, & Equipment Used: PC, MS Office 2013 Applications, calendar scheduling software applications
Working Conditions: Office environment, must be able to stand for long periods of time, and be able to lift up to 50 lbs. of equipment.

Organizational Relationships: Reports to the Director of Conference and Event Services
Evaluation: Evaluation of the job performance is measured against the above duties and responsibilities according to University policy.
Selection Process: Selected applicants will interview with the Director of Conference and Event Services.
