Job Summary
The Accounting Clerk is responsible for performing general accounting duties and assisting with the bank reconciliation process, customer refunds, accounts payable and accounts receivable .
The Cash Accounting Clerk will report to the Chief Financial Officer (CFO) and Controller.
Responsibilities and Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Reconcile several cash accounts on a daily basis
- Enter daily deposits into the accounting software
- Assist with customer refunds by verifying refund requests and entering credit memos/customer refunds into the accounting software
- Handle customer chargebacks by researching details, responding to disputes, and entering credit memo/customer refunds into the accounting software
- Maintain accounting ledgers by verifying and posting account transactions to ensure financial records are accurate and complete
- Match purchase orders to invoices and enter invoices into computer
- Reconcile processed work by verifying entries and comparing system reports to balances
- Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries
- Pay vendors by monitoring discount opportunities, verifying federal id numbers, scheduling and preparing checks, resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos, issuing stop-payments or purchase order amendments
- Maintain accounting ledgers by verifying and posting account transactions
- Verify vendor accounts by reconciling monthly statements. Enter new or update vendor names and data.
- Protect organization’s value by keeping information confidential
OTHER MAJOR DUTIES AND RESPONSIBILITIES:
- Assist the CFO and Controller in special projects
- Perform other duties as requested by the CFO and Controller
PHYSICAL REQUIREMENTS:
- Sedentary- able to sit for extended periods of time, occasional walking, standing (as necessary) and able to lift and carry up to 25 pounds
- Dexterity – finger movements (computer keyboard, calculator), eye-hand coordination (office equipment, etc.)
- Audio-Visual requirements - within normal range with or without correction.
- Is able to move throughout all buildings, floors and grounds
- Worksite environment - Primarily indoors-office setting with occasional exposure to outdoor elements/climate during the day
- Mental demands - steady response to unpredictable situations, ability to remain calm and productive during stressful situations. Demonstrates independent judgment, discretion and is able to manage multiple projects and deadlines
TIME REQUIREMENT:
- This is a full time, non-exempt position working a 40 hours per week over a 12-month schedule. Requires flexibility for extra hours when necessary to meet submission deadlines. Occasionally the work schedule must be adjusted because of holidays
- Attendance at work is a requirement of this position; any and all absences must be approved by the immediate supervisor
Qualifications and Skills
- 1-3 years of bookkeeping or accounting experience is preferred
- Knowledge of general accounting principles, regulatory standards and compliance requirements
- General math skills
- Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs
- High degree of accuracy, attention to detail and confidentiality
- Excellent data entry skills
- Excellent analytical, problem solving and decision making skills
- Effective verbal, listening and written communication skills
- Effective organizational, stress and time management skills
- Demonstrates a sense of urgency and ability to meet deadlines
- Ability to work independently or as a team member
