Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records
- Coordinate calendar management and schedule appointments for staff and executives
- Handle correspondence via email, Google Workspace tools, and traditional mail with promptness and professionalism
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Assist with office management duties such as supply ordering, maintaining office equipment, organizing files and ordering parts.
- Provide exceptional customer service by supporting clients, visitors, and team members efficiently and courteously
- Support personal assistant responsibilities including travel arrangements or special project coordination as needed
Experience
- Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience working with multi-line phone systems and handling high-volume calls effectively
- Bilingual abilities are highly preferred to serve diverse client needs better
- Prior experience in medical or dental receptionist roles is advantageous but not required
- Demonstrated proficiency in data entry, filing systems, proofreading documents, and managing calendars
- Strong computer literacy skills combined with excellent time management abilities to prioritize tasks efficiently
