Automotive Service Writer / Service Advisor — Front Office & Parts Procurement

Euro Auto Werks | Fairview, PA
Full-time | Five-day workweek
Schedule: 8:45 a.m.–5:00 p.m.

Euro Auto Werks is an independent European and exotic automotive repair facility seeking an organized, knowledgeable, and personable Service Writer to manage our front office, customer communication, and parts procurement.

This position takes ownership of the customer experience from the first phone call through vehicle pickup. You will work directly with the owner and technicians to build accurate estimates, obtain repair approvals, source the correct parts, and keep the shop’s workload moving efficiently.

We’re looking for someone who follows through, communicates clearly, and can manage several active repair orders without losing track of the details.

Responsibilities

Customer Service & Front Office

  • Serve as the primary contact for customers in person, by phone, email, and text.
  • Manage appointments, incoming inquiries, vehicle drop-offs, and pickup arrangements.
  • Document customer concerns, vehicle information, service history, and existing vehicle condition accurately.
  • Open and maintain repair orders in Tekmetric, including notes, estimates, approvals, and customer communication.
  • Keep customers informed about findings, repair progress, parts delays, and changes in cost or completion time.
  • Handle customer concerns professionally and involve the owner when a situation requires management approval.
  • Maintain a clean, organized front counter and customer waiting area, and complete daily opening and closing duties.

Estimates & Service Advising

  • Build complete, accurate estimates using technician findings, labor information, and supplier pricing.
  • Explain inspection results, diagnostic findings, repair recommendations, and maintenance needs in understandable terms.
  • Address the customer’s original concern first, then present additional recommendations according to urgency.
  • Recommend appropriate maintenance based on vehicle history, mileage, and service intervals.
  • Obtain and document customer authorization before repairs or additional charges.
  • Set realistic expectations for pricing and completion times after confirming technician capacity and parts availability.
  • Follow up on pending estimates, declined recommendations, and future service needs.

Parts Procurement & Vendor Coordination

  • Research, source, and order parts for approved repairs.
  • Verify part numbers, vehicle fitment, quantities, quality, and required supporting components with technicians.
  • Compare supplier pricing, availability, shipping costs, warranty coverage, and return terms.
  • Track orders and delivery dates, resolve shortages or incorrect shipments, and communicate delays promptly.
  • Inspect incoming parts, reconcile packing slips, and organize parts by repair order.
  • Manage returns, core exchanges, warranty returns, and supplier credits through completion.
  • Maintain productive relationships with dealerships, distributors, and other parts suppliers.

Shop Workflow & Team Coordination

  • Coordinate the daily repair schedule with the owner and technicians.
  • Assign approved work in Tekmetric based on technician skills, parts readiness, equipment needs, and customer commitments.
  • Keep each repair order’s status and next step current.
  • Identify jobs awaiting approval, parts, or other information, and take action to resolve delays.
  • Participate in daily planning and prepare the following day’s workload.
  • Confirm required technician verification and final checks are complete before notifying customers that their vehicles are ready.

Payments & Administrative Duties

  • Review final invoices for accuracy and explain completed work and charges to customers.
  • Collect payments and required deposits, issue receipts, and reconcile daily payment totals.
  • Track outstanding balances and follow up according to shop policy.
  • Coordinate extended warranty claims, including documentation, authorizations, adjuster communication, and payment follow-up.
  • Explain applicable shop policies, warranty terms, and customer responsibilities accurately.
  • Maintain organized records and protect customer information.

Qualifications

  • Previous automotive service advising, service writing, or automotive parts experience preferred but not required.
  • Working knowledge of automotive systems, maintenance, repair terminology, and parts sourcing.
  • European vehicle experience is a strong plus.
  • Strong customer service skills and the ability to explain technical information clearly.
  • Excellent organization, attention to detail, and follow-through.
  • Ability to prioritize calls, customers, estimates, parts orders, and technician needs in a busy shop.
  • Comfortable using computers, digital inspections, electronic parts catalogs, and shop management software.
  • Tekmetric experience preferred but not required.
  • Professional judgment, dependable attendance, and a collaborative approach to working with technicians and management.
  • Medical, Dental and vision available.

What Success Looks Like

Customers know what is happening with their vehicles. Technicians have clear instructions, approved work, and the correct parts. Estimates and invoices are accurate, and parts returns, customer updates, and pending approvals are followed through to completion.
