Job Description
We are looking for an executive assistant to the Founder to gradually take on various administrative and organisational tasks and support the running of the business. Showing experience and professionalism in dealing with a wide variety of tasks related to administration support will be important, in addition to being a person full of energy and enthusiasm, suitably equipped and talented to manage business relationships as first person of contact. Your involvement in several business matters will be essential and for that you will need to be intelligent, efficient and meticulous across different tasks and situations.
The role will be offered part-time for a few hours a week initially but it is likely the number of hours to increase gradually with prospect the role to require a full-time commitment. It is a hybrid role where the person in the role will be able to work from home and occasionally travel with the Founder to client premises. It will be required to commute to London.
Role Responsibilities
- Deliver highly organised support for the Founder
- Organise and schedule (or reschedule) meetings and appointments, as well as, phone and conference calls
- Act as first point of contact for internal and external clients (and their EA’s) for the Founder, dealing with phone calls and emails
- Be experienced in the preparation and coordination of documentation and reports ahead of different meetings such as board, client and with other stakeholders, setting agendas, taking of minutes and following up where appropriate
- Arranging and booking travel, transport and accommodation (occasionally, you will need to attend internal meetings or travel to external meetings with the Founder, where establishing a rapport with participants will be required)
- Dealing with highly confidential matters/material with outmost discretion
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
- Accurate and timely control of administrative tasks e.g. processing expenses and billing, photocopying material required in meetings etc.
- Liaising with external providers/suppliers, obtaining quotes and providing the Founder with information required to produce better decision-making
- Miscellaneous projects which will vary according to business priorities e.g. conducting research, data entry, prospecting, copywriting/proofreading, social media management, coordinating and attending events, assisting with marketing initiatives, dealing with providers etc.
Qualifications
Skills & Experience Required
- 2 years of experience in a similar role
- Exceptional interpersonal skills with the ability to communicate effectively and build relationships at all levels both internally and externally
- Strong communication skills, providing clear and consistent communication between the Founder, his team, clients and other stakeholders
- Previous experience working at Senior or Executive level
- Excellent time management and organisational skills
- Detail-oriented, solutions-focused and accurate with positive can-do attitude
- Discrete, diplomatic, able to exercise good judgment and tact
- Strong ability to work independently and under pressure and respond effectively on own initiative to changing situations and priorities generating expected or desirable outcomes
- Ability to maintain highly professional manner under all circumstances
- Tactful and discrete when handling sensitive matters maintaining confidentiality at all times
- Background in the Consulting industry or Professional Services would be advantageous
- Knowledge of standard software packages (demonstrated proficiency in Microsoft Office is required) and ability to learn company-specific systems
- An understanding of business and commercial awareness
- Able to work flexible hours, when needed
