Job description:
We are looking for a detail-oriented Accounts Payable & Accounting Specialist to manage daily AP operations, support month-end close, and maintain accurate financial records. This role involves invoice processing, vendor management, reconciliations, and ongoing communication with internal teams and external partners.
Key Responsibilities
Accounts Payable Operations
- Process and post AP invoices and credits on a daily basis
- Manage AP payments, including check runs, CC and electronic payments
- Maintain AP folders and documentation in an organized and audit-ready manner
- Monitor vendor aging reports and ensure timely payments
Vendor & Expense Management
- Maintain vendor records and respond to vendor inquiries
- Manage expense reports
- Coordinate and schedule vendor services (waste, water, etc.)
- Support resolution of invoice discrepancies and disputes
Reconciliation & Accounting Support
- Perform bank clearing activities daily
- Reconcile credit cards, petty cash, and other accounts monthly
- Conduct CC payable reconciliations
- Review and reconcile UPS duties/tariffs as needed
- Ensure alignment between subledgers and general ledger
Reporting & Month-End Close
- Prepare monthly reports
- Generate and review customer statements
- Assist with commissions file preparation and posting
- Analyze transactions coding
Communication & Support
- Handle daily customer accounting calls and inquiries as needed
- Collaborate with internal teams to ensure accurate financial data
- Support audits and ensure compliance with internal controls
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred
- 1–2 years of experience in accounting or accounts payable
- Experience with ERP systems (SAP preferred)
- Proficiency in Microsoft Excel and accounting software

Schedule
- Monday – Thursday: 9:00 AM – 5:30 PM
- Friday: 9:00 AM – 3:00 PM
- 2 days work from home available after 3 months
