About Us

The Northeast Indiana Veterinary Emergency & Specialty Hospital (NIVES) has provided the highest level of specialized small animal health care to our community since 2004. We grew out of a well-established, AAHA accredited, primary care clinic originally started in this location in 1967. Over the past 20 years, we have grown into one of the largest small animal emergency and specialty hospitals in the state.

Our facility offers services in cardiology, internal medicine, surgery, and emergency and critical care. We have a team of board-certified specialists and emergency doctors committed to providing quality care to all patients. In 2015, NIVES became the only veterinary hospital in the state of Indiana to be certified as a Level II Critical Care Facility. This certification deems our hospital qualified to care for and treat even the most life-threatening cases. Our advanced diagnostic capabilities allow our doctors to diagnose and treat complicated medical conditions. These diagnostics include digital radiography, ultrasonography, electrocardiography, and computed tomography (CT).

Job Summary

The Facility and Procurement Coordinator is responsible for managing the timely and cost-effective procurement of medical supplies, medications, and equipment from approved veterinary vendors. The inventory specialist plays a vital role in maintaining accurate inventory levels, conducting regular cycle counts, and implementing efficient stock replenishment strategies. To ensure optimal stock for patient care in the veterinary hospital. The inventory specialist collaborates with veterinary staff to understand unique supply needs and continuously seeks to improve processes within the veterinary supply chain. It requires attention to detail, strong communication skills, and the ability to take direction from others.

Responsibilities

Ordering and Procurement:

  • Reorder inventory as necessary to maintain a continuous stock of medications, surgical implants, and supplies
  • Utilize a living document “wish List” to reorder medical consumable products.
  • Ensure monthly counts are performed and reconciled, maintaining accurate inventory levels.
  • Implement and maintain a Two-Bin Kanban system of inventory.

Stocking And Inventory Management

  • Receive and restock medications and hospital supplies, ensuring compliance with DEA and OSHA regulations.
  • Integrate inventory processes with medical record software (Ezyvet), ensuring seamless tracking of items using in routine and non-routine veterinary procedures
  • Track expired medications and inventory products, movement, turns, and stock-outs, updating prices in Ezyvet.

Reporting And Cost Of Goods Sold (CoGS)

  • Implement and maintain reporting mechanisms to track the cost of goods sold (CoGS) related to veterinary supplies.
  • Manage Controlled medications through the Indiana Prescription Monitoring Program (PMP)

Safety and Regulatory Compliance

  • Plan and execute the site safety function requirements and trainings.
  • Maintain building safety checks log. (Monthly)
  • Conduct weekly site safety audit or incident report to the relevant authority.
  • Implement preventive measures and recommend improving unsafe conditions/material/equipment.
  • Oversees fire extinguisher inspections and sign offs.
  • Ensures all PPE including Xray gowns are inspected, in good working order, and logged.
  • Ensure eye wash station is in good working order and monthly inspections are being done
  • Initiate and follow up with supervisors/managers for safety training for team members.
  • Ensure compliance of safety plans.
  • Ensures annual OSHA workplace posting (form 300A). Feb 1st-April 30th
  • Advises management on safety problem corrections.
  • Keeping required safety and health documents/files available for all staff
  • Coordinate Emergency Response Team for human medical emergencies and natural disasters
  • Coordinate CPR/ First Aid/ Emergency Responder training for emergency response team members.
  • Review annual safety inspection documents from Stericycle and determine a course for correcting any problem areas.
  • May be asked to handle other safety-related duties not outlined here if deemed necessary

Qualifications

  • 2 Years of experience with inventory management in a hospital environment (preferred)
  • Ability to optimize and manage a two-location supply chain and inventory system
  • Experience with Ezyvet Integration for tracking inventory in veterinary medicine (preferred)
  • Advanced Excel skills
  • Excellent Verbal/ written communication skills

Schedule And Compensation

  • $25-28 per hour, depending on experience
  • The hours for this position are flexible but will be 4-5 days per week

Special Working Conditions

  • Ability to stand, walk, stoop, kneel, crouch, and climb as well as manipulate (lift, carry, and move) up to 50 pounds. Lifting higher weights requires requesting assistance from another associate.
  • Requires good hand-eye coordination, arm-hand-finger dexterity with the ability to grasp, and visual acuity to use a keyboard and operate necessary equipment.
  • Ability to carry out instructions furnished in written, oral, or diagram form and to solve problems involving several variables.
  • Specific vision abilities required by this position include close vision.
  • Occasionally exposed to airborne particles and illness from patients and chemicals related to animal care and office equipment.
  • The noise level in the work environment is normally moderate.
  • Environment where pets are present.
