Executive Administrative Assistant / Operations Manager

We are seeking an experienced Executive Administrative Assistant / Operations Manager to support senior leadership within a fast-paced corporate environment. This position combines high-level executive support with office operations, financial administration, and stakeholder coordination responsibilities.
Key Responsibilities
- Provide comprehensive administrative support to executive leadership, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Coordinate office operations, vendor relationships, facilities needs, and procurement activities.
- Manage meeting logistics, conference room scheduling, agendas, materials, and visitor support.
- Support budgeting activities, invoice processing, expense tracking, and financial reporting.
- Partner with accounting and procurement teams to ensure accurate processing of invoices, requisitions, and intercompany transactions.
- Prepare reports, presentations, and business correspondence while maintaining confidentiality of sensitive information.
- Assist with onboarding activities and provide administrative support to the broader team.
- Monitor operational processes and identify opportunities for efficiency improvements and compliance enhancements.
- Serve as a key point of contact for internal stakeholders, external vendors, and office management functions.
Qualifications
- Bachelor’s degree or equivalent professional experience.
- 10 years of experience in executive administration, office management, operations support, or related roles.
- Strong experience supporting senior executives, directors, or vice presidents.
- Experience with budget administration, invoice processing, expense management, and procurement activities.
- Advanced proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent organizational, communication, multitasking, and stakeholder management skills.
- Ability to handle confidential information with professionalism and discretion.
- Strong attention to detail and ability to manage multiple priorities in a deadline-driven environment.
Preferred Qualifications
- Experience supporting leadership teams within corporate, government relations, public affairs, or professional services environments.
- Professional Administrative Certification or related credentials.
- Experience working closely with accounting, finance, procurement, or facilities teams.
