Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite, Google Workspace, and other office software for correspondence, reports, and scheduling
- Assist with calendar management, appointment setting, and scheduling meetings for staff and executives
- Provide customer support through phone etiquette and effective communication, ensuring client inquiries are addressed promptly
- Handle bookkeeping tasks using QuickBooks or similar accounting software as needed
- Support office management tasks such as supply inventory, mail distribution, and maintaining a clean workspace
- Coordinate with team members to ensure efficient workflow and timely completion of administrative tasks
Qualifications
- Proven experience in office administration or clerical roles, with strong organizational skills and attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with QuickBooks, bookkeeping, or medical/dental receptionist duties is a plus
- Excellent phone etiquette and customer service skills; bilingual abilities are preferred but not required
- Strong typing speed and computer literacy to handle various administrative functions efficiently
- Ability to manage multiple priorities effectively with good time management skills
- Previous experience in office management or personal assistant roles is advantageous
- Demonstrated ability to proofread documents accurately and maintain confidentiality in handling sensitive information
