Job Summary
Under the supervision of the Director of Athletics or designee, the Coordinator of Athletics is responsible for the daily operational needs of the athletic department related to game day operations, intramurals and recreation, scheduling, transportation and equipment; facilities and initiate, develop and direct the coordination of special events.

This position offers a competitive starting salary of $45,000 – 55,000, along with a comprehensive college benefits package.

Supervisory Role
Oral and written instructions are received from the Director of Athletic or designee. The Coordinator of Athletics may supervise game or event staff and student workers.
Duties & Responsibilities
GAME DAY OPERATIONS
1. As assigned, act as “administrator in charge”, resolve operational issues and direct staff as needed for NJCAA intercollegiate functions.
2. Responsible for game day set-up and breakdown of all intercollegiate contests.
3. Communicate with facilities department on lining and preparation of fields, set-up and take down of seasonal athletic equipment, overall maintenance of athletics fields and facilities as it relates to playability and safety.
4. Periodic tests and checks of all athletic equipment as it pertains to game day operations.
5. Locker room set-up for players, coaches and officials.
6. Coordinate needs for visiting teams and officials
7. Report any ejections, cards, technical fouls, safety issues, injuries or emergencies to the Director and/or appropriate areas immediately.
INTRAMURALS AND RECREATION
1. Under the direction, organize, develop and maintain comprehensive intramural and recreational sports programs.
2. Monitor, engage and grow our intramural presence on the Newark and West Caldwell campuses to meet the needs of our current students.
3. Coordinate and plan for all intramural sports and programs, set-up all competition, leagues, and registration, and provide needed facilities, equipment, supplies, and personnel to operate programs.
4. Ensure that the building usage is in conformance with building schedule; maintain various spaces in a neat and orderly appearance.
5. Coordinate with Student Life and Activities and the Student Life Board to ensure needs of students are being met.
6. Keep current and be familiar with all rules, polies, and regulations pertinent to each intramural sport conducted.
7. Oversee open gym as it pertains to operating and closing, posting hours of operation, events, and set-up needs for usage.
8. Develop best practices for tracking intramural and open gym participation. Collaborate with Student Life and Activities for working strategies.
SCHEDULING, TRANSPORTATION, EQUIPMENT
1. Schedule intercollegiate athletic contests including scrimmages, conference, regional and out of region opponents, including master schedule of all sports.
2. Develop and maintain monthly practices and athletic calendar.
3. Communicate with coaches regarding their schedules.
4. Communicate any and all changes of schedules through e-mail to entire athletic department and coaches.
5. Confirm all intercollegiate games, times, and location with opposing school 24 hours prior to game.
6. Coordinate scheduling of facilities for athletics games and practices, intramurals, and any other athletic related events with event management.
7. Serve as liaison to and collaborate with Auxiliary Services and West Caldwell Tech for use and scheduling of all athletic facilities.
8. Communicate with vehicle fleet, including scheduling for routine maintenance, annual inspections/registrations, filling with game, snow removal, mileage log, issuance of keys, etc.
9. Coordinate with Facilities Department van usage.
10. Oversee contracted charter transportation including scheduling quotes, contracts and confirmation with vendor.
11. Assist with any charter bus quotes needed and preparation of yearly athletic charger bus bid document.
12. Assist the Assistant Director with annual physical inventory counts for all athletic program equipment, supplies, uniforms, and apparel.
13. Collaborate with the assistant director and coaches to identify the equipment needs for assigned sports.
FACILITIES
1. Assist in the management of the following facilities, including serving as liaison to facilities, maintenance, grounds and custodial staff and reporting/inspecting all work: Cleo Hill gymnasium, Student-Athlete Advising Room, Athletic Trainer Room’s, Sauna Room, Athletic Locker Rooms, West Essex (West Caldwell) Soccer Field
2. Assist with preparing the West Essex Soccer Field, Cleo Hill Gymnasium, and other playing surfaces for all athletic practices and contests including the set-up and breakdown of all necessary equipment.
3. Responsible for maintaining all playing surfaces and indoor and outdoor equipment, including scoring and timing devices.
4. Ensure that building usage is in conformance with building schedule; maintain various spaces in a neat and orderly appearance.
5. Ensure indoor and outdoor facilities are inspected for health and safety.
6. Ensure lighting systems, scoreboards, and appropriate equipment are functioning prior to each event.
7. Submit and follow up on work orders for all facility maintenance., and removal of equipment and furnishing; lock changes, etc. for athletic facilities.
8. As assigned, act as “administrator in charge”; resolve operational issues and direct staff as needed for NJCAA intercollegiate functions and camps.
INITIATE, DEVELOP and DIRECT THE COORDINATE SPECIAL EVENTS
1. Develop “special event” concepts through Student-Athlete Advisory Committee (SAAC) and community service initiatives with students, staff, faculty, and community groups.
2. Work with Marketing and Communications in the development and distribution of marketing and promotional materials.
3. Provide on-site supervision and coordination.
4. Establish and maintain community relations through interaction and participation with community groups. Develop special event concepts, which will be of value and interest to these groups.
