What You Bring
- Experience in a dental practice or med-spa environment preferred (2-3 years strongly preferred)
- Experience working in a fee-for-service (FFS) setting
- Knowledge of or exposure to sedation dentistry and caring for anxious or high-acuity patients
- A strong hospitality mindset with concierge-level service standards
- Excellent communication and interpersonal skills
- Understanding of practice operations, patient flow, and scheduling logistics
- Familiarity with practice management systems
- A calm, organized, and solutions-oriented approach to patient care
What You Will Be Doing
- Deliver a warm, seamless, white-glove experience from arrival through departure
- Coordinate scheduling for complex and sedation-based procedures
- Guide patients through forms, treatment plans, and financial arrangements with discretion and care
- Prepare daily schedules and patient records for clinical teams
- Maintain accurate documentation and follow-up communication
- Support patients before, during, and after sedation appointments to ensure comfort and confidence
- Manage front-office and administrative responsibilities to maintain an elevated practice environment
- Prepare and present treatment plan and financial estimates to patients for all prescribed treatment.
- Schedule patient treatment appointments: reschedule patients that miss their appointment and call patients that have not completed treatment.
- Partner with the rest of the team to ensure providers’ schedules are optimized.
- Work with clinical team to effectively manage daily patient flow, providing communication and information to the appropriate individuals.
- Assist patient with financial arrangements.
- Complete estimates on patient portion of treatment.
- Utilize outside financial partners like CareCredit.
- Handle all treatment paperwork including consent forms.
- Effectively communicate and develop a strong working relationship with the Doctor and promote teamwork through cooperative and professional behaviors.
- Assist at the front desk as needed.
- Adhere to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient’s records.
- Other duties may be assigned.
