Job Summary
We are seeking a highly organized and detail-oriented Administrative Secretary to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office and dispatch center. This role involves managing front desk responsibilities, handling clerical tasks, assisting with office management duties, processing IPRA requests, and dispatch call-taking as needed. The Administrative Secretary will also play a key role in facilitating communication within the office/dispatch center and with external stakeholders.
Duties
- Greet and assist visitors at the front desk, ensuring a welcoming environment.
- Manage incoming calls, emails, and correspondence, directing them to appropriate personnel.
- Perform clerical duties including filing, typing, and data entry to maintain accurate records.
- Assist in scheduling appointments and managing calendars for staff members.
- Maintain office supplies inventory and place orders as needed.
- Support records custodian with processing IPRA's
- Utilize computer software to organize documents and streamline office processes.
- Collaborate with team members to ensure smooth office operations and effective communication.
- Perform dispatch-call taking as needed
Qualifications
- Proven experience as an administrative secretary or in a similar administrative role.
- Strong front desk management skills with a friendly demeanor.
- Familiarity with IPRA requests
- Excellent organizational skills and attention to detail are essential.
- Proficient in computer applications, including word processing and spreadsheet software.
- Ability to manage multiple tasks efficiently while maintaining professionalism in a busy environment.
- Strong interpersonal skills to effectively interact with staff, clients, and visitors.
