The Recruiting Coordinator provides dedicated administrative and operational support to the Talent Acquisition function for a relatively new division. This role supports the recruitment lifecycle through interview coordination, candidate communications, requisition administration, recruiting activity reporting, and related Talent Acquisition processes.
The Recruiting Coordinator serves as a key liaison between candidates, recruiters, hiring managers, and internal stakeholders to support efficient hiring activities and ensure recruitment processes are completed in accordance with established company procedures and compliance requirements.
JOB RESPONSIBILITIES:
Recruiting Coordination & Candidate Experience
• Coordinate end-to-end interview scheduling across multiple stakeholders, time zones, and interview formats, including phone, virtual, onsite interviews, and candidate hospitality as needed.
• Prepare and distribute interview schedules, resumes, interview guides, candidate materials, and related documentation to hiring teams.
Requisition Administration
• Maintain accurate and up-to-date candidate and requisition records within ATS.
• Assist recruiters with candidate tracking, pipeline updates, requisition status updates, and documentation accuracy.
• Support recruiting activity reporting and assist with data audits to ensure accuracy, consistency, and compliance.
Pre-employment & Hiring Process Support
• Maintain confidentiality and professionalism when handling sensitive candidate, employee, compensation, and business information.
• Assist with offer and onboarding coordination by ensuring required documents, forms, and process steps are completed accurately and timely.
Onboarding Coordination
• Support onboarding coordination for new hires within the Talent Acquisition team.
• Partner with business stakeholders, Human Resources, IT, Payroll, Facilities, and hiring managers to support a smooth onboarding experience.
• Ensure new hires receive timely communication and a positive transition into the organization.
Administrative Support & Continuous Improvement
• Provide administrative support to the Talent Acquisition team with regard to process documentation, reporting, scheduling, data entry, and recruitment-related projects.
• Identify opportunities to improve recruiting coordination, candidate communication, process efficiency, and data accuracy.
• Support cross-functional communication between Talent Acquisition, Human Resources, hiring managers, and business stakeholders.

MINIMUM REQUIRED QUALIFICATIONS:
• Education Requirement: Associate's degree in Human Resources, Business Administration, or related field, or equivalent work experience.
• Experience: Minimum of one (1) to three (3) years of experience in recruiting coordination, Human Resources operations, and administrative support.
• Proficiency in MS Office, including Outlook, Word, and Excel, as well as social media platforms like LinkedIn.
• Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
• Strong attention to detail and commitment to maintaining accurate records and documentation.
• Excellent written and verbal communication skills.
• Strong interpersonal skills with the ability to interact professionally with candidates, recruiters, and internal stakeholders.
• Ability to handle confidential and sensitive information with discretion and professionalism.
• Ability to work independently while also contributing effectively in a team-oriented environment.
PREFERRED QUALIFICATIONS:
• Experience using SuccessFactors or a similar Applicant Tracking System.
• Experience coordinating interviews across multiple time zones.
• Background supporting Talent Acquisition, HR, or business operations within a technical, engineering, manufacturing, energy, or data center-related environment.
WORKING CONDITIONS:
• Minimal travel required. Occasional travel for recruiting events, meetings, and company functions.
• Standard Monday through Friday work week. Additional hours may be required as business needs dictate.
• Office-based environment requiring regular computer use and occasional standing, walking, and lifting of up to 10 pounds.
• The noise level in the work environment is typically quiet.
