Overview:
The Office Administrator/Medical Office Receptionist will greet patients, activate patient files, and move patients through a pre-determined schedule of appointments within the office.
Responsibilities Include but are not limited to:
- Welcomes patients and visitors to the office by greeting patients and visitors in person and on the telephone and answering inquiries or referring questions to other staff members.
- Answers, screens, and directs phone calls to staff; takes messages.
- Schedules appointments for the office to optimize patient satisfaction, provider time and most effective use of examining and treatment rooms. Prepares a daily schedule of examinations for each provider.
- Retrieves patient files from cabinet/appropriate source, checks for correct sequence of papers, inserts new patient record forms, and places files in sequence for clinical examination or treatment.
- Endeavors to keep patients on schedule by reminding provider of service delays.
- Support office workflow, authorizations, clinician schedule and other branch-related operations.
- Assists patients as necessary, telephones taxis or family members when necessary for transportation.
- Maintains reception area in a neat and orderly condition.
- Assists patients with insurance papers and billing questions.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items. Delivers outgoing mail to the post office at end of day.
- Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
- Performs administrative and clerical support tasks.
- Performs basic filing and recordkeeping.
- Performs other duties.
Skills/Requirements:
- Strong interpersonal, oral (including telephone) and written communication skills.
- Excellent customer service skills.
- Good organizational skills.
- Basic understanding of administrative and clerical procedures and systems.
- Proficient computer skills including Windows based office technologies.
- Proficient with Microsoft Office Suite or related software.
- Ability to use all necessary office equipment, facsimile machines, calculator, postage machine, copiers, scanner.
- Bi-lingual (Spanish) preferred.
- At least one-year relevant experience and/or training.
- EMR experience preferred.
Education and Experience:
- Graduate of a certified medical office training course preferred.
- High school graduate or equivalent required.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
Pay: $21.00 - $23.00 per hour
