Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle incoming correspondence, including emails and texts messages , with accuracy and timeliness
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
- Intake client forms, appointment taking on various platforms.
- Support office management activities such as supply inventory, opening and closing procedures.
- Knowledgable about our services and packages to promote and up-sell comfortably to clients.
Qualifications
- Proven experience in office management or administrative support roles, preferably as a receptionist or in a medical/spa office setting
- Strong computer literacy with proficiency in Vagaro or Classpass is a plus.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills with a friendly attitude and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with clerical tasks such as appointment scheduling, creating invoices and checking out clients.
