Job Summary:
The Contract Support Specialist is a full-time role based at ESA South, Inc. headquarters. This position supports Contract Administration by ensuring compliance with contract requirements and maintaining accurate records for ESA South projects. Reporting to Contract Administrator, the specialist plays a key role in documentation, reporting, and coordination with subcontractors and clients.
Duties/Responsibilities:
· Prepares and tracks subcontracts, change orders, and related documentation in compliance with contract requirements.
· Maintain accurate and organized records, including certified payroll, subcontractor documentation, and jobsite logs.
· Verify labor and subcontractor timecards against sign-in sheets; monitor and respond to missing or incomplete logs.
· Submit weekly certified payroll reports via the required systems and ensure compliance with DOL directives.
· Assist with subcontractor onboarding, including COI’s, SF1413s, W-9s, and Computer Ease system entries.
· Support both pre- and post-award contract activities, including audit preparation and internal reviews.
· Attend project meetings, review departmental SOPs, and stay familiar with active jobs and filing systems (e.g., Egnyte, Procore, RMS, Ops Processes & Procedures).
· Collaborate effectively with Contract Administration, project teams, and management to fulfill documentation and compliance needs.
· Perform additional duties as assigned to support contractual and operational efficiency.
Required Skills/Abilities:
· Experience in federal construction environments and familiarity with contracts, subcontracts, and change orders is preferred.
· Knowledge of Davis-Bacon Act requirements and Federal Acquisition Regulations.
· Strong written, verbal and interpersonal communication skills with excellent grammar and spelling.
· Exceptional attention to detail is a must, along with strong organizational and time management skills.
· Ability to multitask, work independently, and collaborate effectively across teams.
· Proficient in Microsoft Office Suite; adaptable to new technologies and familiar with construction industry software.
· Accurate math and accounting skills; proactive in identifying and resolving issues.
Education and Experience:
· Bachelor’s degree preferred.
· Two years or more of work experience required.
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
· Ability to travel as needed.
Other Requirements:
· Must be able to pass background and security checks required for access to federal and military installations

Pay: $65,000.00 - $70,000.00 per year
