Erickson Laboratories is a small, specialized medical practice seeking an experienced, personable, compassionate, and highly organized Office / Insurance Coordinator & Receptionist to join our team.
This role is ideal for someone who thrives in a patient-focused healthcare environment, communicates effectively, and takes initiative without requiring constant supervision. As the first point of contact for our patients—many of whom have low vision or blindness—you will play a vital role in providing exceptional service and supporting our clinical team.

Key Responsibilities
Insurance & Administrative Coordination
- Request prior authorizations and prescriptions for upcoming services and appointments
- Maintain patient demographics and prosthetic eye information within the electronic practice management system
- Send and receive medical records, correspondence, and documentation via phone, email, mail, and fax
- Prepare patient receipts, letters, and basic reports using standard office software
- Monitor office supplies and notify management when reordering is needed
Scheduling & Reception
- Schedule, confirm, and manage patient appointments
- Maintain cancellation and waitlists while filling schedule openings promptly
- Answer incoming calls and route messages appropriately
- Welcome patients and visitors in a professional and friendly manner
- Check patients in and coordinate communication with providers regarding patient readiness
Patient Assistance
- Escort patients safely between the waiting room, examination rooms, restroom, and building lobby
- Assist patients with low vision or blindness as needed
- Provide wheelchair assistance when necessary
- Prepare and sanitize examination rooms after each patient visit
Additional Duties
- Travel to the Tacoma satellite office once per month
- Support daily office operations and assist with additional administrative tasks as needed
Qualifications
- Previous experience in a medical office, healthcare administration, insurance coordination, reception, or related role preferred
- Strong multitasking abilities in a busy healthcare environment
- Exceptional attention to detail and organizational skills
- Self-motivated with the ability to work independently
- Excellent verbal and written communication skills
- Professional, compassionate, and patient-focused demeanor
- Strong problem-solving abilities
- Ability to work collaboratively in a small team environment
- Proficiency with Microsoft Word, Excel, and general computer applications
