What are the responsibilities and job description for the Administrative Assistant- Accounts Payable position at Ergon, Inc - Refining & Marketing?
Resinall Corp, an Ergon company currently has an opening for an Administrative Assistant- Accounts Payable in our Hattiesburg, Mississippi location. The Administrative Assistant- Accounts Payable is an hourly non-exempt position in the Operations Department that serves as an assistant to the Operations Manager and other Operations department employees.
The duties of the Administrative Assistant- Accounts Payable include but are not limited to the items outlined below and other tasks and duties as assigned by supervision in line with level of training.
- Support Operations with any needed duties.
- AP Specialist
- Transactions - reconcile daily sales paperwork with monies received and credit card transaction receipts, create invoice in SAP, complete COD recap and bank deposit slip
- Make daily/weekly bank deposit
- Work with Jackson office, outside vendors and customers regarding problems with petty cash, purchase orders and unpaid invoices.
- Assist with problems with inventory updates and inventory control.
- Petty Cash Reimbursements - verify receipts and process reimbursements
- Assist with End of the month and End of Year Procedures
- Enter department orders into SAP
- Process and audit p-card statements for credit card holders
- Maintain controlled Operations Department documents.
- Serve as a Tech Writer for Operations Department.
- Serve as a backup to the Admin Assistant-Inventory.
- Follow policies and practices as stated in the Employee handbook and other facility policy and procedure manuals.
- Perform all tasks in accordance with plant safety guidelines and procedures with a heightened sense of awareness to maintain a safe work environment.
Education Level:
- High School Diploma or equivalent
- 1-2 years of experience in an administrative or office support role
Specific Skills:
- A good understanding of accounting procedures, software, and principles
- Computer experience required in Microsoft Office programs including Outlook, Excel, and Word with the ability to learn new computer programs as related to Job responsibilities
- Excellent communication and organizational skills
- The ability to provide and comprehend written and verbal instructions
- The ability to learn and understand basic operations principles as related to charge and yield, shift work, and shift scheduling
- The ability to work as part of a team to accomplish projected goals
