The Purchasing Coordinator supports day-to-day purchasing operations by maintaining accurate system data, tracking order status, and supporting clear and consistent communication across teams. Responsibilities
- Enter and maintain accurate purchasing data in NetSuite, ensuring all records are up to date and complete.
- Monitor and update order status, including backorders, late shipments, and delivery timelines.
- Track incoming shipments and flag delays, discrepancies, or missing information.
- Maintain and update purchasing trackers and spreadsheets for team visibility.
- Monitor Zendesk tickets and ensure updates are properly recorded and communicated.
- Coordinate internally with purchasing, operations, and engineering teams to support alignment on order status and priorities.
- Maintain organized supplier and order documentation for easy reference and audit readiness.
- Flag missing, incomplete, or inconsistent data to prevent downstream delays.
- Support general administrative tasks for the purchasing team as needed.
- Assist with additional projects or responsibilities as assigned.
Required Qualifications
- 1 year of experience in an administrative, operations, or support role preferred.
- Associate’s degree preferred but not required.
- Strong attention to detail and a high level of accuracy in data entry and tracking.
- Highly organized with the ability to manage multiple tasks and follow through consistently.
- Comfortable working in systems and spreadsheets (NetSuite, Zendesk, Excel, or Google Sheets).
- Clear and professional communication skills, with the ability to coordinate across teams.
- Ability to identify gaps or inconsistencies and escalate appropriately.
- Reliable, consistent, and able to work in a structured, process-driven environment.
- Experience in a manufacturing or production environment.
- Exposure to ERP systems (NetSuite preferred) or ticketing systems (e.g., Zendesk).
- Familiarity with basic purchasing or supply chain concepts.
- Experience maintaining or working with structured trackers, logs, or databases.
- Demonstrated ability to work in a fast-paced, detail-driven environment.
