Position Summary
The Maintenance Supervisor is responsible for overseeing all maintenance operations for the company's managed short-term rental portfolio, company facilities, and related properties. This position ensures homes are maintained to the highest standards, maintenance requests are completed efficiently, preventative maintenance programs are followed, and owner assets are protected.
The ideal candidate is highly organized, mechanically inclined, customer-service focused, and capable of leading a maintenance team while working hands-on when necessary.
Primary Responsibilities
Short-Term Rental Maintenance
- Oversee maintenance for approximately 125 managed vacation rental properties throughout Chautauqua County and Ellicottville.
- Respond promptly to maintenance requests generated by guests, owners, housekeeping staff, and office personnel.
- Prioritize emergency repairs to minimize guest disruptions.
- Troubleshoot and complete general repairs including:
- Plumbing
- Electrical (minor)
- HVAC troubleshooting
- Appliances
- Doors & windows
- Carpentry
- Furniture
- Interior finishes
- Coordinate after-hours emergency maintenance coverage as needed.
- Ensure every property is guest-ready and operating at the company's quality standards.
Preventative Maintenance
- Develop and maintain preventative maintenance schedules for all managed properties.
- Perform seasonal inspections including:
- HVAC systems
- Smoke & CO detectors
- Plumbing fixtures
- Roof and exterior conditions
- Decks and railings
- Appliances
- Water heaters
- Safety equipment
- Prepare homes for seasonal transitions including winterization and spring openings.
- Identify maintenance concerns before they become costly repairs.
Facilities Management
Maintain company-owned facilities including:
- Office buildings
- Maintenance shop
- Storage facilities
- Company vehicles (basic oversight)
- Equipment and tools
Coordinate repairs, vendor service, and preventative maintenance for all company facilities.
Vendor Management
- Establish and maintain relationships with trusted contractors.
- Coordinate specialty vendors including:
- Electricians
- Plumbers
- HVAC contractors
- Roofers
- Appliance technicians
- Landscapers
- Snow removal contractors
- Obtain estimates and manage vendor performance.
- Ensure projects are completed on time and within budget.
Inventory & Equipment
- Maintain maintenance inventory and supplies.
- Track tools and equipment.
- Recommend purchases and replacements.
- Monitor maintenance budgets and purchasing.
- Ensure company vehicles and trailers are properly maintained and stocked.
Property Owner Communication
- Communicate professionally with homeowners regarding maintenance findings and repair recommendations.
- Provide accurate estimates and repair updates.
- Document completed work with photos and detailed notes.
- Assist in identifying capital improvement opportunities that protect owner investments.
Administrative Responsibilities
- Maintain maintenance records within the property management software.
- Track work orders from submission through completion.
- Prepare reports on recurring maintenance issues.
- Assist with annual budgeting for maintenance operations.
- Ensure compliance with company safety standards and applicable regulations.
Qualifications
- 5 years of residential property maintenance experience preferred.
- Previous supervisory or leadership experience preferred.
- Strong knowledge of:

- Ability to diagnose maintenance issues independently.
