Office Manager – Urgent Care Medical Center (Leadership-Focused)
Job Summary
We are seeking a confident, experienced, and highly capable Office Manager to provide strong leadership and operational oversight within our urgent care center. This role is ideal for a healthcare professional who excels in managing teams, optimizing workflows, and ensuring exceptional patient experiences in a fast-paced clinical environment. The Office Manager will oversee front-office operations, staff performance, patient flow, compliance, and administrative functions while partnering closely with clinical leadership to maintain a high standard of care.
Key ResponsibilitiesLeadership & Staff Management
- Lead, mentor, and supervise administrative and support staff to maintain a high-performing, patient-centered team.
- Oversee hiring, onboarding, training, scheduling, and performance evaluations for administrative personnel.
- Foster a culture of accountability, professionalism, and collaboration across clinical and non-clinical departments.
- Ensure adequate staffing and workflow coordination during peak hours, weekends, and extended urgent care shifts.
Healthcare Operations Oversight
- Direct the day-to-day administrative operations of the urgent care center, ensuring efficient patient intake, registration, and discharge processes.
- Coordinate provider schedules and manage patient flow to maintain smooth and timely clinical operations.
- Monitor and enhance operational efficiency by recommending process improvements and implementing best practices.
- Maintain strict compliance with healthcare regulations, including HIPAA, OSHA, and urgent care industry standards.
Medical Administration & Billing Support
- Supervise insurance verification processes, collection of co-pays, and accurate patient documentation.
- Support medical billing workflows and improve administrative accuracy through effective oversight.
- Manage bookkeeping and financial tasks.
Facility, Vendor, and Resource Management
- Oversee clinic facility needs, equipment maintenance, and medical inventory control to ensure readiness and safety.
- Build and maintain strong relationships with medical suppliers, service vendors, and external partners.
- Negotiate vendor contracts to ensure cost-efficient and high-quality service delivery.
Strategic & Administrative Leadership
- Prepare administrative reports, track key performance indicators, and identify opportunities for improvement.
- Coordinate staff meetings, compliance trainings, and professional development initiatives.
- Serve as the central communication hub between administrative personnel, clinical staff, and senior leadership.
Qualifications
- Proven leadership experience in healthcare office management, preferably in urgent care, primary care, or outpatient services.
- Strong ability to lead teams, manage conflict, coach staff, and drive performance improvements.
- Extensive experience with patient scheduling, medical administrative workflows, and EMR/EHR systems.
- Proficiency in MS Office Suite, and scheduling and communication tools.
- Exceptional communication skills, with the ability to engage effectively with patients, staff, providers, and external partners.
- Demonstrated ability to uphold confidentiality, navigate sensitive situations, and make sound operational decisions.
- Strong organizational abilities, attention to detail, and adaptability in a high-volume clinical environment.

Job Type: Full-time
Pay: $17.00 - $25.00 per hour
