Role Description
This full-time, on-site Construction Administrator role is located in Boca Raton, FL. The Construction Administrator will be responsible for overseeing construction documentation, managing project schedules, coordinating with various teams, and ensuring compliance with project specifications. This role involves managing submittals, supporting project management efforts, and facilitating clear and effective communication among stakeholders. Additional duties include providing support for construction administration services and collaborating with team members to ensure project success.
Qualifications
- Coordinate permit registration, track NOC filings, manage 3rd party expeditors, and all agency submissions and approvals
- Receive, log, respond to, and follow up on RFIs in a timely manner to avoid construction delays
- Coordinate design revision submissions and track approval status
- Virtually attend OAC (Owner-Architect-Contractor) meetings; prepare and distribute meeting minutes and action items
- Manage and track city inspections; liaise with municipalities, inspectors, and local authorities
- Support purchasing processes including order placement, tracking, and vendor follow-up
- Coordinate with internal teams across construction and finance
- Track and manage insurance certificates and other vendor on-boarding requirements
- Maintain organized systems and documentation
- Store email and files in a structed and organized way
- Provide general administrative support for operations
