Equipment Finance Services (EFS) is seeking a highly detail-oriented and personable Closing Coordinator to own the full post-origination lifecycle of our small-ticket equipment finance transactions. This role sits at the intersection of operations, client experience, and portfolio administration. They are critical to our closing speed, information reliability, and keeping our clients coming back. Work LocationThis role is remote within the United States. Due to employment and tax considerations, we are not able to consider applicants residing in the following states: Alaska, California, Hawaii, Idaho, Nevada, New York, Oregon, Washington.

Essential Duties and Responsibilities- Closing & Funding
- Own the closing process from handoff by the Sales Support team through funding, ensuring each deal moves efficiently and without error
- Prepare, review, and finalize document packages for accuracy, and completeness prior to client execution
- Distribute and execute document packages via DocuSign, managing the client through execution with clear communication and a professional touch
- Vault all executed documentation within eVault in accordance with internal protocols
- Coordinate funding draws and wires to vendors from EFS's line of credit, including validation of any required down payments received and confirmation that origination fees have been properly collected
- Ensure funded deals are correctly booked and submitted to Great America Financial Services (our loan portfolio servicer)
- Filing timely and accurate UCCs on financed equipment
- Portfolio Administration
- Reconcile weekly remittance reports from Great America Financial Services and process principal paydowns in accordance with payments received
- Review monthly new booking reports to ensure accuracy and alignment with Great America's records, flagging and resolving discrepancies proactively
- Client & Vendor Relationship Management
- Serve as a relationship point of contact for clients throughout the closing process and beyond, nurturing ongoing satisfaction to drive repeat business and improve deal conversion
- Coordinate and send post-close follow-up gifts (hot sauce… it's our thing) and conduct client check-ins to ensure a positive experience
- Maintain and develop vendor relationships to encourage referral business and deepen EFS's origination pipeline
- Required
- Bachelor's degree (or equivalent experience) required; Finance, Business Administration, or related field preferred
- Minimum 3 years of experience in loan or lease closing, equipment finance, or a directly related role
- Strong command of closing documentation, funding mechanics, and document management systems

- Comfortable operating in a lean, high-throughput environment where ownership and follow-through are required for the team to succeed
