What are the responsibilities and job description for the Leave Administrator position at Equiliem?
The TEMPORARY Leave Administrator is a member of the Leave Management Unit within the Employee Relations team. The person in this role ensures timely and accurate communication with employees and vendors, oversees entry of time and pay data for HSS employees on approved continuous and intermittent leaves of absence, and resolves or escalates issues as appropriate.
Responsibilities:- Respond to employee inquiries (via email and phone) about leave policies, claim status, or time and pay while on leave, and direct or escalate to appropriate resources.
- Direct and guide employees toward correct parties related to leave of absence (e.g., third-party leave administrator, state agencies) and/or accommodation needs.
- For leaves managed by third-party administrator: once approval is received, create new leave case in our timekeeping system (UKG) timely and accurately.
- For leaves managed by internal HSS Leave Management Unit: send, receive, and review required documents, assess and make determination of leave status. Send approval, follow-up, or denial letters. If approved, create new leave case in our timekeeping system (UKG) timely and accurately. Communicate leave status and real-time changes with both employee and manager.
- Advise managers and/or timekeepers on leave-related time code inquiries.
- Calculate, track, and enter donated sick and/or vacation time.
- Collect incoming leave of absence mail and fax correspondence.
- Maintain leave records, privacy and confidentiality of medical and personal information in accordance with HIPAA policies and procedures.
- Bachelor's Degree or equivalent work experience.
- Minimum of one (1) year of working in a leave of absence administration or payroll role.
- Proficient in Microsoft Office applications, especially Excel and Outlook.
- Experience working in HR Systems: Workday (HRIS) and Kronos (Timekeeping) a plus.
- Able to handle multiple tasks simultaneously in a fast-paced environment.
- Impeccable attention to detail and follow-through.
- Highly customer-service oriented and employee experience focused, projecting a positive attitude and a solutions-focused mindset.
- Collaborative, with proven ability to develop and maintain strong professional relationships.
- Strong written and verbal communication skills, able to explain complex information in a simple and understandable way.
- Adaptable, able and willing to adapt to different approaches.
- Healthcare experience a plus.
