We are seeking a highly organized and detail-oriented professional to serve as a part-time Controller and Office Manager. This dual-role position is responsible for overseeing daily office operations while managing the company’s financial activities, including accounting, budgeting, and financial reporting.
Key Responsibilities
- Financial Management
- Financial Reporting: Prepare and analyze monthly, quarterly, and annual financial statements in QuickBooks, including balance sheets, cash flows, and profit-and-loss statements.
- Day-to-Day Accounting: Oversee vendor payments and general ledger entries to ensure accurate reporting of the business, including ensuring compliance with federal government contract requirements.
- Grant Management: Oversee tracking of expenses and general accounting for federal grants to ensure program compliance and expense reimbursement.
- Payroll & Compliance: Partner with the company’s payroll provider to ensure timely payroll processing and compliance with local, state, and federal tax requirements.
- Budgeting & Forecasting: Maintain annual budgets and monitor actual spending against budgetary allotments.
- Internal Controls: Implement and maintain financial policies and procedures to safeguard company assets.
- Treasury: Maintain banking relationships, including cash and investment accounts.
- Tax: Partner with company’s Tax firm for tax return preparation.
- Office Management & Administration
- Daily Operations: Oversee the office environment, including managing supplies, equipment, and key vendor relationships.
- HR Support: Assist with onboarding new hires, maintaining employee files, employee handbook, and managing benefits.
- Vendor Management: Assist in the negotiation and management of key vendor contracts and relationships.
- Hours Expectation: 20-25 hours per week
Qualifications
- Education: Bachelor’s degree in Accounting, Finance, or Business Administration is required.
- Experience: 7 years in a controller or senior accounting role
- Technical Skills: Proficiency in QuickBooks and Microsoft Excel.
- Soft Skills: Strong communication, multitasking, and problem-solving abilities.
