Who We Are

The Episcopal Diocese of Texas is committed to supporting healthy, growing, mission-focused congregations in a diverse and rapidly changing region. We support nearly 70,000 Episcopalians across 81 counties in 330 diverse communities. The Congregational & Mission Vitality team is a hopeful, joyful group of leaders who are passionate about our ministries and deeply value one another and the churches we serve.

Position Summary

The Project Coordinator is the first dedicated project management role on the Congregational & Mission Vitality team. As the team grows and its consulting and support work with congregations expands, this person will design workflows across the team's portfolio, track each engagement from intake through completion, work cross-functionally to add accountability to the process, and define and evaluate what success looks like at the close, producing reporting that shows how and where the Diocese engages its congregations. The position is based in the Houston Diocesan Office.

Primary Responsibilities

Project & Workflow Management

  • Assist with the design, launch, and management of projects across the team's church consulting and support work, from intake and scoping through execution and closeout.
  • Use a project management software platform to build and maintain workflows, templates, timelines, and project plans.
  • Track progress against milestones, owners, and deadlines; surface risks, dependencies, and bottlenecks before they stall the work.

Evaluation & Reporting

  • Develop dashboards and regular status reports for the team and leadership.
  • Assist with defining success criteria for each project or engagement at the outset and evaluate outcomes against those criteria at the close.
  • Collect and report needed data for projects
  • Build and maintain reporting that shows how the team engages congregations: which churches, on what topics, and with what results.

AI Integration & Innovation

  • Serve as the team's lead for integrating AI tools into project management, reporting, documentation, and congregational-support workflows.

Team Capacity Building

  • Teach and coach the CMV team in sound project-management, raising the whole team's ability to plan, track, and complete its work.
  • Establish standards, tools, and language around how the team manages projects.
  • Facilitate planning sessions, project kickoffs, retrospectives, and regular check-ins.

Collaboration & Other Duties

  • Collaborate with other diocesan staff members and parish leadership across planting, campus ministry, congregational vitality, and small-church work.
  • Be a team player on the staff; additional responsibilities as assigned.

Skills and Qualifications

  • Experience working and tracking data and milestones within project management software (Asana, MS Project, Monday, Etc.)
  • Strong facilitation and coaching skills, with the ability to teach project-management practice to colleagues who are new to it.
  • Excellent organizational discipline and follow-through, with strong written and verbal communication and the ability to manage many priorities under deadlines.
  • Able to build positive relationships with diocesan stakeholders, including staff, clergy, and lay leaders, and handle confidential information with discretion.
  • Embodies the EDOT Staff Core Values: Joy, Compassion, Humility, Creativity, Holy Ambition, Resilience

Preferred

  • PMP certification (Project Management Professional).
  • Knowledge of the Episcopal Church and its shared language and structures.
  • Project-management experience in a church, nonprofit, ministry, or mission-driven organization.
  • Experience establishing a project-management function where none existed.
  • Bilingual or bicultural (English/Spanish).

Education and Experience

  • Bachelor's degree required.
  • Minimum of five years of project-management experience, including managing multiple concurrent projects.
  • Demonstrated expertise with project-management software and digital collaboration tools.

Physical and Mental demand and Work environment

Regularly talks, listens, stands, walks, climbs stairs, bends, and sits, at times for extended periods; uses hands to finger, handle, or feel; reaches with hands and arms; and lifts up to 15 lbs. Requires frequent face-to-face interaction and interruptions, the ability to follow oral and written instructions, sustain concentration, and make quick, accurate decisions under stress from deadlines, employee complaints, complexity, competing priorities, and occasional understaffing. Work is performed almost entirely indoors in a moderately noisy office environment, with continuous use of telephones, computers, copiers, and similar business equipment.
