Epic Transitions is looking for a highly organized, dependable, and people-friendly Secretary / Administrative Coordinator to help support our growing senior transition and planning services.
Epic Transitions serves Oklahoma seniors and their families through senior health and wellness seminars, community shows, educational events, planning resources, referral coordination, client support, and social media/marketing outreach. This role is ideal for someone who enjoys helping people, keeping details organized, communicating clearly, and making sure important follow-up does not fall through the cracks.
Position Overview
This is a 1099 independent contractor role with an expected workload of approximately 20 hours per week. Payment arrangements will be discussed and determined based on experience, availability, and scope of work.
The Secretary / Administrative Coordinator will help coordinate senior health and wellness seminars, community shows, client communications, referral partner routing, printed resources, and basic social media/marketing support.
Primary Responsibilities
Responsibilities may include:
- Helping coordinate senior health and wellness seminars, workshops, shows, and community events
- Communicating with clients, seminar attendees, prospective clients, and referral partners by phone, text, or email
- Helping organize event details, attendance lists, sign-up sheets, and follow-up needs
- Routing client needs to the appropriate Epic Transitions team member or referral partner
- Assisting with follow-up after seminars, shows, consultations, and client meetings
- Printing, organizing, and preparing seminar handouts, checklists, packets, and client resources
- Helping with basic social media and marketing tasks, such as preparing posts, organizing content ideas, sharing event information, and assisting with follow-up campaigns
- Maintaining contact lists, follow-up notes, basic client records, and marketing/event tracking lists
- Helping schedule meetings, calls, and referral partner conversations
- Supporting referral partner communication and coordination
- Helping track upcoming tasks, deadlines, event details, and client follow-ups
- Supporting general administrative needs as the business grows

Helpful Skills
Experience with any of the following is a plus, but not required:
- Administrative, secretary, or office support work
- Customer service or client communication
- Social media, marketing, or community outreach
- Event, seminar, or trade show coordination
- Senior services, real estate, legal, financial, insurance, healthcare, or ministry-related work
- Google Drive, Microsoft Word, Canva, HubSpot, Facebook, Instagram, or basic CRM tools
Schedule and Workload
This role is expected to require approximately 20 hours per week to start. Hours may vary depending on seminar schedules, senior health and wellness shows, client needs, marketing needs, and business growth.

Contractor Status
