SUMMARY/OBJECTIVE
Epic Enterprises seeks a Receptionist/Administrative Assistant who reports to the Human Resources Manager and will as the primary “face of the company,” delivering an exceptional first impression to all visitors, vendors and contractors. This administrative professional manages the reception area, coordinates multi-line phone systems, handles incoming and outgoing correspondence, and supports the Human Resources Department with clerical tasks. The ideal candidate balances a highly polished, professional demeanor with top-tier organizational skills to maintain smooth, daily front office operations
RESPONSIBILITIES
- Front Office & Communication: Manage incoming calls, screen and route inquiries to appropriate associates, greet visitors, and maintain a highly professional reception area
- HR Information Systems (HRIS): Execute accurate, timely data entry into the Human Resources Information System and maintain robust office administration and record-keeping procedures.
- Production Floor Logistics: Coordinate the ordering and distribution of employee uniforms and act as the primary liaison for the vending company to ensure breakrooms are fully stocked and machinery is functional.
- Mail & Supply Management: Oversee the flow of daily correspondence, manage mail distribution, and proactively handle the requisition of office supplies.
- Cross-Departmental Support: Assist the Accounting and Payroll teams with various financial tasks, including invoice processing and tracking.
- Executive Collaboration: Partner with the General Manager to plan, coordinate, and execute Board Meetings.
- Ad-Hoc Projects: Provide general office support, handle clerical activities (scanning, printing, copying), and execute other duties as requested by leadership.
EDUCATION & EXPERIENCE
- Experience: High School diploma required (associate’s degree a plus). At least 3 years of proven work experience in an office setting as a Receptionist, Front Office Representative, or Administrative Assistant.
- Confidentiality & Diplomacy: Exceptional interpersonal skills with a proven ability to manage sensitive situations with tact, professionalism, and strict diplomacy.
- Technical Proficiency: Highly proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and hands-on experience operating standard office equipment (copiers, printers).
- Communication Skills: Superb grammar, written communication, telephone etiquette, and oral communication skills, with the ability to interface confidently with staff at all organizational levels.
- Execution & Drive: A proactive, hands-on self-starter who possesses a strong sense of urgency, excels at problem-solving, and thrives under deadlines in a fast-paced environment. [
