Job Summary
The Account Coordinator serves as the primary day-to-day contact for assigned print and packaging clients, providing exceptional service, accurate project coordination, and timely communication from job initiation through delivery. This position collaborates with production, estimating, prepress, and vendor partners to ensure projects are executed with precision and excellence.

Responsibilities and Duties
Client & Project Management
- Serve as the primary liaison between clients, internal departments, and external vendors for all assigned print and packaging projects.
- Coordinate job details including estimating, scheduling, proofing, and production tracking to ensure projects meet client specifications, deadlines, and budgets.
- Manage multiple projects simultaneously while maintaining accuracy, attention to detail, and professionalism in all communications.
- Communicate proactively with clients on project status, timelines, and any changes that may affect delivery or scope.
- Manage project setup, job ticket creation, and status tracking.
- Attend client meetings, internal production meetings, and status calls as needed.
Print Production Coordination
- Work with estimating and production teams to prepare and revise estimates, quotes, and purchase orders.
- Review proofs and production samples for quality and accuracy before client presentation or final production.
- Coordinate with prepress, press, bindery, and finishing departments to ensure technical accuracy of jobs.
- Track production schedules and proactively address potential bottlenecks or issues.
- Partner with vendors, suppliers and internal departments for job components such as specialty finishing, packaging, or mail services.
- Support press checks and packaging line audits as needed to ensure adherence to brand and quality standards.
Administrative & Financial Support
- Assist with client billing and ensure invoices accurately reflect job specifications and pricing.
- Maintain accurate and organized records of project quotes, approvals, proofs, and communications.
- Generate reports as requested for project status, billing, or client performance summaries.
- Support preparation of client business reviews and performance scorecards.
Continuous Improvement
- Identify opportunities to streamline workflows and enhance client satisfaction.
- Maintain knowledge of print technologies, substrates, finishing options, and packaging trends.
- Collaborate with internal teams to recommend improvements in systems, processes, and client communication.
Qualifications and Skill Requirements
- Minimum of 3 years’ experience in account coordination or customer service within a commercial printing, packaging, or marketing production environment.
- Strong understanding of print production processes including lithography, digital printing, and finishing.
- Knowledge of estimating, scheduling, and proofing practices in a print environment.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Highly organized and detail-oriented with the ability to manage multiple projects and tight deadlines.
- Excellent written and verbal communication skills.
- Demonstrated problem-solving ability and a collaborative, solutions-oriented mindset.
- Positive, professional attitude with a commitment to delivering outstanding customer service.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Graphic Communications, Print Management, Marketing, or related field.
- Experience with packaging design workflows, structural design files, or prepress file preparation.
- Familiarity with sustainability standards (e.g., FSC, SFI) and print quality programs (e.g., G7, ISO).
Working Conditions
- Office environment with occasional pressroom or vendor site visits.
- Sitting for prolonged periods; occasional lifting of materials up to 25 lbs.
- Fast-paced environment subject to shifting priorities and tight deadlines.
