Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for overseeing the daily operations of the office, ensuring efficient administrative processes, and providing support to various departments. The Office Administrator will play a crucial role in maintaining a productive work environment and facilitating communication among staff and vendors.
Duties
- Manage office operations, including scheduling, filing, and clerical tasks to ensure smooth workflow.
- Oversee event planning and coordination for company meetings, training sessions, and other activities.
- Supervise administrative staff and provide training & development to enhance team performance.
- Handle vendor management, including negotiating contracts and maintaining relationships with suppliers.
- Assist with human resources functions such as payroll processing, employee onboarding, and benefits administration.
- Maintain accurate records through bookkeeping practices and budgeting oversight.
- Utilize QuickBooks for financial tracking and reporting as needed.
- Manage multi-line phone systems, ensuring effective communication both internally and externally.
- Coordinate calendar management for executives and other team members to optimize schedules.
- Provide front desk support, greeting visitors and managing inquiries with professional phone etiquette.
Experience
Candidates should possess a combination of the following skills:
- Previous office experience with a focus on administrative functions.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Experience in medical office management is a plus.
- Proficiency in schedule management and filing systems.
- Demonstrated supervisory experience with team management capabilities.
