About The Role
We are seeking a proactive and organized Office Coordinator to manage daily office operations and facilities tasks. In this role, you will ensure a high‑quality service experience for employees and visitors while maintaining a healthy, safe, and well‑functioning office environment.
Purpose of the Role
To oversee all office and facilities duties, ensuring smooth operations, exceptional service, and a safe workplace for all employees and visitors.
Key Responsibilities
- First point of contact for customers, visitors and vendors (both by telephone and physically) and transfer to the appropriate person/department.
- Ensure maintenance of inventory of office supplies and interaction with vendors regarding selection, pricing, and delivery of office supplies, equipment, and services.
- May be co-responsible for health and safety matters of the local organization, including risk assessments, and company emergency services. Ensure local health and safety policies are up to date and in line with regulations and ensure compliance from external contractors.
- Serve as a central contact point in case of fire or emergencies.
- Execution of other operational tasks of administrative and/or coordinative nature and supportive functions to management and staff.
- May be responsible for general facilities coordination, systems and machine service.
- May ensure that office services such as coffee and tea, catered luncheons and travel arrangements are provided.
- May negotiate prices, ensure SLAs are followed.

- 3–5 years of relevant work experience in office coordination, administration, or facilities support.
- Educational background in Office Management or a related field.
- Proficiency in both English and Spanish, written and spoken is an advantage.
- Proficiency in Microsoft Excel, Word, and Power Point
- Strong organizational, communication, and customer‑service skills.
- Ability to manage multiple tasks while working under occasional pressure.
- Knowledge of ABS (agro business systems), QMS (quality management systems) and QoL (Quality on Line) is a plus, but not necessary.
- May work under time pressure during peak activities or emergencies.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift, carry, push, and move items up to 25 - 30 lbs.
- Occasional standing and walking within the office or worksite.
- Occasional reaching, bending, or stooping when accessing files or office materials.
- Manual dexterity required for keyboard use, writing, and handling documents.
- Occasional travel >5%.
