Position Summary:
The Office Services Support serves in a vital and supporting role on the Office Services team. The Office Services Support serves as "gatekeeper" for the lobby areas and ambassador of first impressions to guests and callers. This position is very integral to the Office Services team as it serves the staff through funneling all outside communications, creating a friendly and welcoming atmosphere, making sure supplies/resources are available, and providing clerical duties. This position also serves to help support the Office Services Coordinator in daily tasks and projects.

• Excellent communication and leadership skills
• Must possess a valid driver's license and maintain a good driving record
• High school diploma or GED
• Basic skills in MS Office suite--Word, Outlook, Excel, and SharePoint
• Must be able to answer and direct phone calls
• Ability to work independently and to plan, organize, and handle multiple tasks as necessary
• Must be able to relate positively with diverse groups of people (guests, staff, volunteers and vendors)
• Must be able to adapt to changing assignments and environments
• Must have a keen eye for detail
• Must maintain a positive attitude
Responsibilities
• Keep the reception/lobby areas clean and clutter free to create a welcoming atmosphere
• Be able to perform light custodial duties
• Making coffee and keeping the cafe area clean and restocked
• Greet incoming guests and vendors with a welcoming attitude
• Handling and transferring of incoming communication to the proper individual and/or team
• Assist with assigned clerical duties & projects
• Compile end of monthly reports include cash box to be submitted to Finance
• Provide customer service for book and supply orders
• Provide excellent communication to staff, visitors, and vendors
• Provide point of sale for Latitudes items
• Cash/credit card handling for merchandise sales
• Assist in electronic filing of newsletters and emails
• Actively respond in a timely manner to emails in multiple shared inboxes
• Handling and transferring of incoming calls
• Provide online customer service on Pioneers' website
• Provide support with mailroom responsibilities including but not limited to processing, sorting, and delivering mail/packages
• Distribute packages and envelopes throughout the day
• Restock first aid kits
• Maintain neatness in Mailroom and desk areas
• Keeping Receptionist & Mailroom guide up to date
Physical Demands:
• Environment: Work is performed primarily in a standard office environment with extensive public contact and frequent interruptions
• Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information
