Responsibilities
The Event Support Specialist will play a pivotal role in assisting with the planning, execution, and support of various events hosted by Envoy Air. In addition to event coordination, this role also supports a range of administrative and program-related functions to ensure the smooth delivery of customer service and leadership development initiatives. The ideal candidate will be highly organized, detail-oriented, and able to multitask in a dynamic, fast-paced environment, contributing both operationally and administratively to a wide range of company priorities.
Key responsibilities:
Event Coordination:
- Provide event coordination support for a variety of company-wide events.
- Assist with the logistical coordination of small-scale events, such as:
- Food drives
- Charitable drives and packing events
- Campus events
- Manage and coordinate RSVP lists for events, ensuring proper tracking and communication with attendees.
- Support the creation and distribution of event communications, including emails, promotional materials, and other related content.
- Assist with sourcing and procurement of event-related materials, such as swag, gifts, donations, food, and beverages.
- Provide on-site support during events, ensuring smooth operations, assisting with setup, teardown, and troubleshooting as needed.
- Collaborate closely with internal teams to ensure that event objectives are met and that expectations are exceeded.
Administrative and Program Support:
- Provide ongoing administrative support across key operational programs, particularly within Field Services and Leadership Development.
- Assist with logistical coordination related to training facilities, program materials, and vendor communication.
- Support class tracking, roster management, participant communications, and related logistics for internal training programs.
- Serve as a key point of contact for shipping, printing, and procurement tasks that support broader departmental functions.
- Adapt to evolving administrative needs as new initiatives and priorities are introduced.
Qualifications
Qualifications:
- Excellent organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks simultaneously and work under pressure to meet tight deadlines.
- Previous event planning or coordination experience is highly preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proficiency in Canva.
- Ability to work collaboratively with a diverse team and interact with various levels of employees.
- Flexibility to work evenings or weekends as required for events.
- Strong problem-solving skills and ability to think on your feet in a fast-paced environment.
Position Preferences:
- Experience working with a wide range of events, from large corporate functions to intimate gatherings.
- Background in event marketing, promotions, or communications.
- Experience with sourcing and coordinating event supplies and vendors.
- Familiarity using a project management software a plus.
