We are currently seeking a versatile and experienced Administrative Assistant to perform a variety of administrative functions supporting the Lab Pack Services Division and other departments as needed. Assignments involve document preparation, filing, resolving customer inquiries, invoicing, and recordkeeping. Willingness to learn about the environmental field and gain familiarity with industry regulations including DOT, EPA, and RCRA.
This is an onsite, in-office position located at our processing facility.
Responsibilities
- Coordinate such services as clerical and data entry, communications, mailing, filing, printing, copying, scanning, travel accommodations and supply inventory.
- Answers routine telephone inquiries from customers, vendors and internal departments.
- Prepares reports and correspondence requested by a manager where information must be obtained from a variety of sources, as well as makes recommendations affecting aspects of office policy.
- Works with operations to prepare invoices for customers, including ensuring supporting documentation such as load lists and manifests are retained for backup.
- Responds to and assists office manager and accounting with customer inquiries and past due accounts as needed.
- Works with accounting to coordinate employee reimbursements for travel and expenses as needed.
Skills and Qualifications
- High school diploma or equivalent.
- Two years’ experience in an office setting, preferably in the environmental or engineering field.
- Thorough knowledge of office practices, procedures, and equipment.
- Strong organizational skills, including ability to ensure customer and vendor invoices are complete and up to date.
- Competency in Microsoft Office programs including Access, Word, Excel, Adobe and Outlook.
- Skill in composition, typing accurately and with reasonable speed, professional correspondence, reports, and other materials.
- Ability to perform a variety of clerical assignments requiring exercise of independent judgment.
- Be able to communicate clearly and precisely, both verbally and in writing with outside customers and vendors, as well as staff at various levels in the organization.
- Strong interpersonal skills a must, including the ability to navigate high stress situations and maintain a positive attitude to promote a team environment.
