Responsibilities:
- Administrative Support: Assist with scheduling meetings, managing calendars, and coordinating communications among site staff, subcontractors, and suppliers.
- Document Management: Prepare, organize, and maintain project documentation, including contracts, permits, and invoices.
- Site Coordination: Assist in tracking project progress and reporting updates to management, ensuring all site activities are documented accurately.
- Communication: Serve as a point of contact for site-related inquiries, facilitating communication between the office and the construction site.
- Financial Tracking: Help with budget tracking, expense reporting, and invoice processing to ensure timely payments and adherence to project budgets.
- Safety Compliance: Maintain safety documentation and assist in ensuring compliance with safety regulations and protocols on site.
- Inventory Management: Monitor and manage inventory levels of office supplies and construction materials, placing orders as needed.
- Reporting: Prepare regular reports on project status, site activities, and administrative tasks for management review.
- High school diploma or equivalent; associate’s degree in business administration or related field preferred.
- Previous experience in construction or a related administrative role is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Ability to perform tasks on a construction site, including occasional lifting and walking on uneven terrain.
