Job Title: Business Operations Manager

Location: San Jose, CA and Rancho Cordova, CA

Duration: 4 Months with possible extension

Pay Rate: $55 - $60/hr on W2

Job Description:

We are seeking an experienced Business Operations Manager – Marketing Operations to join a fast-paced, cross-functional marketing organization. This role is ideal for someone who thrives at the intersection of marketing, finance, procurement, and operations, bringing structure, financial discipline, and operational excellence to a dynamic team.

Key Responsibilities

• Budget & Financial Management
• Own and manage integrated marketing budgets across multiple teams and cost centers.
• Monitor spend, commitments, forecasts, and budget utilization.
• Develop budget dashboards and reporting for leadership.
• Partner with Finance on purchase orders, accruals, forecasting, and year-end close.
• Identify budget risks and recommend cost optimization opportunities.
• Invoice & Procurement Operations
• Manage the complete invoice lifecycle, including approvals, reconciliation, and payment tracking.
• Ensure invoices align with contracts, purchase orders, and statements of work.
• Work closely with Finance to resolve discrepancies and improve payment processes.
• Vendor & Agency Management
• Manage vendor onboarding, contracting, renewals, and offboarding.
• Maintain contract and vendor calendars to ensure compliance and timely renewals.
• Partner with Legal and Procurement on MSAs, SOWs, NDAs, and vendor agreements.
• Serve as the primary operational contact for marketing agencies and strategic partners.
• Process Improvement
• Evaluate existing operational processes and implement improvements that enhance efficiency while maintaining compliance.
• Build scalable frameworks for budgeting, campaign tracking, procurement, and operational reporting.
• Reduce administrative burden on marketing teams through streamlined workflows.
• Support annual planning, quarterly forecasting, and headcount planning.
• Cross-Functional Collaboration
• Act as the operational bridge between Marketing, Finance, Procurement, Legal, and Business Operations.
• Support alignment across Brand, Creative, Digital, Events, Communications, and AI-focused marketing teams.
• Facilitate collaboration and improve operational transparency across departments.
• Reporting & Compliance
• Produce operational reports and executive dashboards.
• Ensure marketing spend is accurately documented, categorized, and audit-ready.
• Support governance, compliance, and procurement policies.

Qualifications

Required

• 5 years of experience in Marketing Operations, Marketing Finance, Business Operations, or a related function.
• Experience supporting B2B technology organizations.
• Strong knowledge of budgeting, forecasting, purchase orders, accruals, invoicing, and financial reporting.
• Experience managing vendors, agencies, contracts, and procurement processes.
• Demonstrated success improving operational processes and building scalable workflows.
• Excellent communication and stakeholder management skills.
• Strong analytical, organizational, and problem-solving abilities.
• Ability to work independently in a fast-moving environment with minimal supervision.
