Health Insurance Administrative Specialist


Harrington Insurance Solutions, LLC (Allen, TX) is a growing, dynamic insurance agency. We specialize in selling health and life insurance and related products to employer groups, individuals and families, and Medicare beneficiaries. As a business, we serve two groups of people—the customers who buy insurance through us, and the agents who sell products for our agency. Our heart is to serve all of these people with excellence.


This open position (Health Insurance Administrative Specialist) will require about 50% of the successful candidate's time to be spent working on employer group accounts, and about 50% of the time working on individual accounts and the support of the CEO/COO in other areas. The successful candidate will report directly to the COO and CEO.


This is an in-office position, and not a remote work or hybrid position. The position requires in-office work daily Monday through Friday from 8 AM to 5 PM or 8:30 AM to 5:30 PM. As this is a salaried position, the employee will also be available after hours and weekends as needed, although this should not be needed with frequency.

Compensation: compensation is exempt and salaried. The amount depends on the experience and suitability of the candidate.


Physical requirements: Extended sitting and use of computer daily (8 hours). Occasional lifting of boxes, loading and unloading of materials for transport to enrollments, storage, etc.

Soft skillsets required for this position:

(1) a strong focus on customer service coupled with excellent communications skills (orally and in writing, especially in reading and responding to detailed emails);

(2) the ability to manage multiple tasks at the same time, and to keep track of the status of those tasks from day to day;

(3) the ability to stay on task and meet deadlines;

(4) consistently checking your own work for accuracy so that client insurance coverage is not adversely impacted by unnecessary mistakes.

(5) Be a self-starter who likes to work independently, but who is also at peace with taking direction.


Technology skillsets required for this position:

(1) Working familiarity with AgencyBloc, Salesforce, or another widely used client management software database for daily documentation of work on particular group and individual accounts.

(2) Working familiarity with an employer group enrollment platform such as Ease, Employee Navigator, Quote , etc.. No particular platform is required, but actual experience and familiarity with at least one of the major platforms is required.

(3) Intermediate Excel Skills (examples: Sort and Filter tables, hiding and unhiding rows or columns, and ability to use =SUM formula).

(4) Proficient with Outlook, Zoom, MS Teams, Microsoft Word.


Specific requirements for work related to employer group accounts:

(1) At least three years of verifiable experience working in employer group health insurance in areas such as quoting, enrolling and serving of employer group fully insured/level-funded health insurance plans (as distinguished from ancillary plans). This includes experience related to obtaining employer group censuses, claim reports, creating the specific enrollment platform for employer group enrollments, adding and dropping particular employees from plans as requested by the employer group, etc.

(2) The ability to be forward thinking, and to organize and prioritize your day based on daily, short term, and long term deadlines, current and future group needs, adds/terms of employees, quarterly audits, annual renewals, and service issues to keep tasks on track.


Examples of some typical duties related to employer group work for this position:

(1) Initiating employer group census requests for new and renewal insurance quotes.

(2) Coordinating with agents to provide documentation to clients about the group plans they will offer to their employees.

(3) Requesting quotes from medical and ancillary carriers based on client needs, and preparing comparison quotes that highlight some major differences in quoted plans.

(4) Entering open enrollment information in online enrollment systems and assisting employees with their online, paper, or on-site enrollments, including preparation of paper and electronic enrollment packets.

(5) Tracking enrollment stages in a CRM such as AgencyBloc, and also in a shared Excel spreadsheet.

(6) Building out and maintaining electronic enrollment platforms.

(7) Adding and dropping employees from coverages as directed in writing by the employer.

(8) Promptly responding to and answering service-related questions or assistance requests from employers and employees.

(9) Regular communications with insurers related to same.

(10) Compliance with regulatory, audit and operating policies and procedures.

(11) Familiarity with COBRA and State Continuation rules for former employees to access coverage in those programs as applicable.


Examples of some typical duties related to general admin work for this position:

(1) Respond timely to individual’s questions regarding claims and service issues.

(2) Promote positive client relations through prompt, courteous and efficient service.

(3) Assist with inbound and outbound calls.

(4) Update CRMs with confirmation of sales activity by agents.

(5) Greet clients and assisting them with intake forms.

(6) Manage bookings of client meetings with agents.

(7) Cross-train in various departments for inter-agency support.
