Position Overview: We are looking for a passionate and enthusiastic client relations specialist who can help us amplify our mission, create awareness, and establish strong community connections. In this role, you'll help raise awareness about the resources and services available to families with children.
Key Responsibilities:
Providing Information and Assistance
- Answer questions about our company and services.
- Provide directions, resources, or instructions to guests or employees.
- Assist with general inquiries about the facility or office.
Answering and Directing Phone Calls
- Answer phone calls promptly and professionally.
- Direct calls to the correct individuals.
- Take messages and ensure they are delivered accurately.
Check-in and Check-out Procedures
- Support client check-in and communication with providers.
- Support in client check-out, process payments, and provide receipts.
- Address any client inquiries or concerns.
Managing Appointments and Schedules
- Schedule reccurring appointments for clients.
- Maintain and update calendars.
- Send schedule reminders and confirmations.
Handling Administrative Tasks
- Perform clerical duties like filing, data entry, and managing paperwork.
- Order and maintain office supplies.
- Prepare reports, documentation, or communications as needed.
Upholding Company Policies and Procedures
- Ensure compliance with company policies and procedures, particularly those related to safety, security, and customer service.
- Maintain confidentiality and professionalism in all interactions.
Qualifications:
- Experience in public relations, media relations, or communications
- Excellent written and verbal communication skills, with the ability to connect with diverse audiences.
- Warm, approachable, and empathetic personality.
- Ability to multitask, work in a fast-paced environment, and meet deadlines.
