About the RoleWe are seeking a sharp, detail-oriented Loan Officer Assistant (LOA) to support a top-producing mortgage team closing over 250 units annually. This role is ideal for someone who thrives in a fast-paced environment, communicates exceptionally well, and understands the flow of a mortgage file from initial lead to clear-to-close.
You’ll play a critical part in the client experience by handling loan setup, managing escalations, supporting the loan officer, and overseeing a small pipeline of leads with the goal of getting them prepped, qualified, and ready for application.
This position includes a guaranteed salary, commission per file, and bonus opportunities based on performance and team goals.
Key ResponsibilitiesLoan Setup & File Support- Manage new applications coming into the team and communicate on document requests.
- Order credit reports, VOEs, homeowners insurance, title, and other third-party services.
- Set up files accurately in the LOS and maintain system notes.
- Assist with conditions gathering and follow-up requests.
- Support a high-volume team with 250 units per year.
- Track milestones through the loan process and ensure nothing falls behind.
- Coordinate with processors, underwriters, title companies, and agents to keep files moving.
- Flag potential delays or escalations and resolve issues quickly.
- Handle incoming warm leads and nurture them through initial prescreening.
- Conduct light qualification (credit, income basics, VA/Conventional guidelines awareness).
- Set appointments for the loan officer and/or move qualified borrowers forward in the funnel.
- Review past client database for refinance opportunities.
- Act as the first touchpoint for file issues, escalations, or urgent client needs.
- Provide timely updates to borrowers, real estate agents, and team members.
- Take initiative in finding solutions and bringing recommendations to the loan officer.
- Deliver a white-glove experience from first contact to closing.
- Draft clear, professional emails and updates throughout the mortgage process.
- Maintain strong relationships with borrowers, agents, and partners.
- Mortgage industry experience REQUIRED (processing, disclosures, loan setup, LOA, etc.)
- Strong understanding of loan products, especially VA, FHA, and Conventional.
- Excellent communication and organizational skills.
- Tech-savvy and comfortable using LOS systems, CRM platforms, and automations.
- Ability to prioritize in a fast-moving, high-volume environment.
