Overall Role
The Payroll Specialist is responsible for ensuring accurate and timely candidate vetting on job orders, along with time clock management, payroll processing and client invoicing on a weekly basis. This role also is a back-up to certain functions of the Senior Payroll Administrator. A strong attention to detail, ability to meet deadlines, and excellent customer service are essential for success in this position. The role supports payroll using an ATS and Back Office Payroll system, with added responsibilities around process auditing and team development through cross-training.
Goals and Objectives
- Ensure proper employee payroll set up for staffing associates
- Ensure accurate and timely weekly payroll for staffing associates
- Deliver precise and on-time billing/invoicing to clients
- Maintain compliance with all federal and state payroll regulations
- Provide high-level customer service to both internal teams and external clients
Key Responsibilities
- Process, maintain, and reconcile payroll and reports
- Communicate with associates to resolve payroll discrepancies
- Maintain accurate employee payroll records, including I-9s, W-4s, and pay preferences
- Review and validate timesheets from manual and electronic systems
- Manage Vendor Management Systems and third-party vendor relationships
- Review and evaluate employee pay and client billing rates
- Administer payroll deductions such as child support and garnishments
- Manage benefit deductions and updates
- Accounts Receivable (Back-Up)
- Apply incoming payments to client accounts accurately
- Monitor AR aging reports and follow up on outstanding balances
- Lead collection efforts for accounts over 60 days past due
- Communicate professionally with clients regarding payment issues and solutions

Experience and Requirements
- 2-3 years of payroll and/or ar/ap experience, or a Bachelor's degree
- Background in staffing, manufacturing, or distribution sectors strongly preferred
- Intermediate Microsoft Office skills, especially Excel
- Technologically proficient with payroll, AR, and ATS systems
