What are the responsibilities and job description for the Finance & Campaign Coordinator position at Engage Media?
Company Description
Engage Media is an award-winning digital marketing agency based in the Philadelphia area, recognized by INC Magazine’s INC5000 and Philadelphia Business Journal's Best Places to Work. We specialize in combining cutting-edge technology with a personalized approach to help clients exceed their key performance indicators, including sales, branding, and lead generation. Our team is driven by data, dedicated to making our clients shine, and committed to fostering a collaborative and enjoyable work environment.
Role Description
We are looking for a highly organized and detail-oriented team player to join our Finance department!
As a Finance & Campaign Coordinator, you will be the crucial bridge between our finance team and our advertising campaigns. Your main goal is to keep everything aligned: making sure the money we track in our financial systems perfectly matches the actual budgets managed and spent on client campaigns. If you love solving puzzles, catching discrepancies, and keeping things organized, this is the perfect role for you.
Primary Responsibilities
Core Financial Duties (Your Primary Focus):
- Support Daily Operations: Work directly with the Finance Director to keep the department running smoothly.
- Maintain Financial Trackers: Keep our day-to-day financial logs organized and up to date, including budget trackers, invoice logs, cash flow support, and basic profit/loss records.
- Manage Invoices, Coop Submissions & Payments: Process vendor invoices to ensure they are paid accurately and on time (Accounts Payable), and track incoming payments from clients (Accounts Receivable).
- Be the "Discrepancy Detective": Compare the money actually spent on advertising platforms against our internal financial reports. If the numbers don't match up, you will flag them for review and help figure out why.
Campaign & Media Support (Working Across Teams):
- Manage Client Breakout: Partner with the Client Success and AdOps teams.
- Keep Systems Synced: Make sure anytime a campaign changes or a budget shifts, those updates are accurately recorded in our financial systems.
- Ensure Budget Alignment: Ensure that planned media budgets, client-facing documents, and internal financial systems are all perfectly matched up.
- Maintain Organization: Help keep campaign structures, budget allocations, and naming conventions consistent so everyone is speaking the same language.
Data Integrity & Process Improvement:
- Connect the Dots: Help ensure seamless alignment and communication across the Finance, Client Success, and Ad Operations teams.
- Improve the Process: Assist in identifying faster, easier ways to do things (efficiencies) and spot opportunities where we can automate manual work.
- Keep Clean Records: Support the standardization of our processes and maintain highly organized file structures and documentation.
Qualifications:
- Experience: 1–3 years of experience in finance, accounting, marketing analytics, or business operations.
- Spreadsheet Skills: Strong proficiency in Google Sheets and/or Microsoft Excel.
- Attention to Detail: A sharp eye for accuracy and strong data validation skills.
- Adaptability: Comfort working across multiple software systems and collaborating with different teams.
- Analytical Mindset: A natural interest in both the financial numbers and the operational workflows that drive them.
Bonus Points (Nice to have):
- Experience working within an agency or marketing environment.
- Familiarity with digital advertising platforms (like Google Ads, Meta, etc.).
- Experience using QuickBooks Online.
What Success Looks Like:
When you are thriving in this role, you will see:
- Perfect alignment between our campaign data and our financial reports.
- Smooth, timely, and accurate processing of all bills and client payments.
- A noticeable drop in discrepancies across our systems and reports.
- A faster, more efficient invoicing and reconciliation process with less manual rework.
- A strong, cohesive working relationship between Finance, Client Success, and Ad Operations.
