Job Summary

The Third-Party Billing & Dispatch Coordinator is responsible for managing all customer-required third-party billing platforms and coordinating service dispatch activities related to those accounts. This role ensures accurate, timely, and compliant invoice submission through various customer-specific portals, while maintaining clear communication with service teams, customers, and accounting. The coordinator will serve as the company’s primary point of contact for all third-party billing systems, ensuring our commercial HVAC projects and service calls are dispatched, documented, and billed according to each customer’s requirements.

Key Responsibilities:

Third-Party Billing Management

  • Maintain and update company profiles in all customer-required 3rd party billing portals (e.g., ServiceChannel, Corrigo, Textura, Ariba, etc.).
  • Submit invoices, work orders, and supporting documentation through designated portals within required timeframes.
  • Monitor portal dashboards for new work requests, invoice rejections, or compliance notices, and respond promptly.
  • Track approval status and follow up on unpaid invoices to ensure timely payment.
  • Ensure all billing entries match service tickets, purchase orders, and contract terms.
  • Train internal staff on documentation requirements for each platform.

Dispatch Coordination

  • Receive and process service requests from 3rd party portals and customer contacts.
  • Assign work to appropriate technicians based on skill set, availability, and location.
  • Communicate work order details and special instructions to field technicians.
  • Track job progress and update portals with status notes, completion reports, and required compliance documents.
  • Coordinate with service managers to resolve scheduling conflicts or customer escalations.

General Administration

  • Maintain accurate digital and paper records for work orders, invoices, and communications.
  • Prepare reports on portal activity, invoice status, and dispatch performance.
  • Collaborate with the accounting and service teams to resolve discrepancies.
  • Identify opportunities to improve processes and reduce invoice rejections.

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • 2 years of experience in administrative, billing, or dispatch roles (HVAC or construction industry experience preferred).
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
  • Experience with 3rd party billing/CMMS platforms strongly preferred.
  • Strong attention to detail and accuracy in data entry.
  • Excellent organizational, time-management, and communication skills.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.

Work Environment & Schedule:

  • Full-time, Monday–Friday during standard business hours.
  • Primarily office-based, with occasional remote work flexibility.
  • Requires regular use of computer and phone.

Reports To:

Director, Shared Services with supporting line to VP of Service
