Job Summary:
We are seeking a full-time Office Assistant to join our team at our Madison Heights location. This position plays an important role in supporting the day-to-day operations of the office while also providing excellent customer service.
The ideal candidate will have a pleasant and professional personality, strong communication skills, and the ability to create a welcoming experience for customers and visitors. This individual must be highly organized, able to multitask effectively, and capable of managing competing priorities in a fast-paced environment.
The Office Assistant will help support efficient office operations and respond to unexpected situations or urgent needs in a timely and effective manner. Strong problem-solving, time management, and stress management skills are essential for success in this role.
Duties/Responsibilities:
- Open and close office daily
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office/warehouse location
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Order office and kitchen supplies
- Keep updated records of office inventory, expenses and costs
- Housekeeping duties (e.g. maintain both kitchen areas, keep clean and stocked)
- Arrange travel and accommodations, and prepare for vendor training luncheons
- Assisting Accounting/HR - copying, filing, pulling invoices, managing e-mail inbox, review freight invoices
- Other duties as assigned
Required Skills/Abilities
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. multi-line phone and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
Education and Experience:
- High school diploma or equivalent required.
- At least two years of related experience required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $19.00 - $24.00 per hour
