POSITION DESCRIPTION
EIP is seeking a highly organized and motivated Program Coordinator to support implementation of a non-residential energy efficiency program. In this role, you will provide essential coordination and administrative support to help ensure smooth program operations, high-quality customer service, accurate reporting, and timely completion of program activities.
The Program Coordinator will work closely with program managers, outreach staff, account managers, engineers, customers, trade allies, and other stakeholders to support day-to-day program delivery. Responsibilities include coordinating meetings and schedules, maintaining program records, supporting reporting and invoicing processes, tracking customer and project activity, assisting with events and trainings, and helping ensure that internal and client-facing administrative requirements are completed accurately and on time.
This role is ideal for someone who is detail-oriented, organized, responsive, and comfortable managing multiple priorities in a fast-paced, client-service environment.
OBJECTIVES OF THIS ROLE
· Program Operations Support: Support day-to-day program operations by helping coordinate activities, maintain records, and keep administrative processes running smoothly.
· Reporting and Data Management: Maintain accurate program data and support preparation of internal and external reports, dashboards, and other tracking tools.
· Administrative Coordination: Provide administrative support for meetings, invoicing inputs, documentation, scheduling, and other program management needs.
· Customer and Stakeholder Support: Help ensure responsive communication and strong service for customers, trade allies, and other program stakeholders.
· Meeting and Event Coordination: Coordinate logistics for meetings, trainings, workshops, webinars, and other program-related events.
· Process Consistency: Help maintain organized systems, accurate documentation, and consistent processes that support quality program delivery.
· Cross-Team Collaboration: Work collaboratively with EIP staff across outreach, account management, engineering, program management, and operations to support effective implementation.
Daily and Monthly Responsibilities
· Program Operations Support: Support day-to-day program operations by helping coordinate activities, maintain records, and keep administrative processes running smoothly.
· Support Program Administration: Assist with day-to-day administrative tasks needed to support program delivery, including scheduling, documentation, coordination, and follow-up.
· Coordinate Meetings and Calendars: Schedule internal and external meetings, prepare meeting materials, document notes and action items, and support follow-up on next steps.
· Maintain Program Records: Organize and maintain files, records, program documentation, and activity logs so information is accurate, accessible, and up to date.
· Manage Data Entry and Tracking: Enter, update, and review customer, project, outreach, and participation data in CRM systems, spreadsheets, and other program tracking tools.
· Support Reporting: Prepare or support development of recurring reports, status updates, dashboards, and summaries related to program activity, participation, and performance.
· Support Invoicing and Internal Administration: Assist with invoicing inputs, tracking supporting documentation, internal reporting, and coordination with finance and leadership as needed.
· Coordinate Events and Trainings: Support planning and logistics for workshops, webinars, trainings, presentations, and other program-related events, including materials, scheduling, and attendee coordination.
· Support Customer and Trade Ally Communications: Help respond to inquiries, coordinate follow-up, and ensure timely communication with customers, contractors, trade allies, and other stakeholders.
· Perform Quality Control: Review program data, documents, and records for completeness and accuracy and help identify and correct inconsistencies.
· Track Action Items and Deliverables: Monitor internal and external deadlines, deliverables, and follow-up items to help keep program activities on schedule.
· Support Special Projects: Assist with special assignments, research, process improvement efforts, and other tasks that support program performance and operational efficiency.
REQUIRED QUALIFICATIONS
· Education: Bachelor’s degree in business administration, communications, environmental studies, finance, operations, or a related field; or equivalent relevant experience.
· Experience: At least 3 years of experience in program coordination, administrative support, operations support, project coordination, or a related role, preferably in energy efficiency, utilities, clean energy, or a professional services environment.
· Organizational Skills: Strong organizational and time management skills, with the ability to manage multiple priorities, maintain accuracy, and meet deadlines.
· Communication Skills: Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal teams and external stakeholders.
· Data and Administrative Skills: Experience with data entry, document management, reporting support, and administrative coordination.
· Technology Skills: Proficiency with Microsoft Office, especially Excel, Word, Outlook, and PowerPoint, and experience with CRM systems, databases, or project tracking tools.
· Attention to Detail: Strong attention to detail and commitment to accuracy, consistency, and follow-through.
· Customer Service Orientation: Ability to provide responsive, professional support in a client- and stakeholder-facing environment.
· Mission Alignment: Commitment to sustainability, energy efficiency, and delivering high-quality service in support of equitable clean energy outcomes.
PREFERRED QUALIFICATIONS
· Industry Experience: Familiarity with utility-sponsored energy efficiency programs, demand-side management, clean energy programs, or non-residential program delivery.
· Non-Residential Market Knowledge: Familiarity with commercial and industrial customers, trade allies, contractors, or related market actors.
· Event Coordination Experience: Experience organizing and supporting meetings, trainings, workshops, webinars, or stakeholder events.
· CRM and Reporting Tools: Experience using CRM systems such as HubSpot, Salesforce, or similar tools, along with dashboards or reporting platforms.
· Financial Administration Support: Experience supporting invoicing, budget tracking, incentive processing, or related administrative functions.
· Program Operations Experience: Experience supporting cross-functional program teams in a deadline-driven, client-service environment.
